Duties and Responsibilities Related to the Groups & Events Coordinator Role

As the Groups & Events Coordinator, reporting into the Director of Events, you will support the strategic objectives of the hotel by ensuring the smooth and efficient operation of the Events Sales team. You will be responsible for coordinating administrative processes, managing event communications, maintaining booking systems, and supporting the successful delivery of a wide range of meetings, events, and group bookings.

This role is ideal for a detail-oriented professional who enjoys working in a fast-paced luxury hospitality environment and thrives on creating seamless experiences for both clients and colleagues.

Key Responsibilities include:

  • Providing comprehensive administrative support to the Groups & Events team.
  • Managing and maintaining accurate booking information across all systems, including Envision.
  • Preparing proposals, contracts, event documentation, and client correspondence.
  • Coordinating rooming lists and group accommodation requirements.
  • Creating, updating, and distributing Event Orders to operational departments.
  • Maintaining accurate records and ensuring systems are updated throughout the event lifecycle.
  • Scheduling and coordinating internal meetings, preparing documentation, and tracking actions.
  • Producing reports and ensuring data accuracy to support business decisions.
  • Supporting enquiry management during peak periods.
  • Conducting competitor research and monitoring market trends.
  • Building strong relationships with clients, colleagues, and key stakeholders.
  • Identifying opportunities to improve processes and enhance departmental efficiency.

About You

You are highly organised and detail-oriented about delivering exceptional guest experiences. You take pride in managing multiple priorities while ensuring every task is completed accurately and efficiently.

A confident communicator, you build positive relationships with clients and colleagues and enjoy working collaboratively in a fast-paced environment. You are professional, proactive, and committed to providing outstanding service at every opportunity.

Previous experience in hospitality, events, guest services, sales coordination, or administration would be advantageous, along with strong Microsoft Office skills and a willingness to learn hotel and event management systems.
