Guardianship & Finance Administrator

We are looking for an organised and flexible Guardianship & Finance Administrator to join our team on a part-time, 1 year fixed-term contract. This position is for 14 hours per week, with the working hours spread across Monday, Wednesday, and Thursday. While the initial contract offers a steady, long-term schedule for 12 months, there is a possibility of extension based on performance and future business needs.

This role combines the responsibilities of supporting both the Guardianship and Finance personnel and will require the successful candidate to seamlessly manage administrative tasks across both areas, and serve as a liaison between internal teams, external clients, and partners.

Please note that due to the part-time aspect of this role this is offered as a remote position with the requirement to work in the office once a month.

Key Responsibilities:

Guardianship Administration

  • Respond to, and follow up on client, family and school enquiries
  • Collate details from students & parents for exeat weekend & half term arrangements
  • Support with host family paperwork & onboarding
  • Liaise directly with parents, students, host families & schools
  • Provide cover on set days when fellow colleague is not working
  • Manage the out of hours emergency phone and enquiries (split 50/50 share with fellow colleague)
  • Perform additional duties as required and commensurate with the role.

Finance Administration

  • Review family expenses claims, supplier invoices and clarify errors as needed
  • Handle urgent finance queries on days the Finance Assistant is not working
  • Input invoices onto the Xero accounting system
  • Assist management in other finance related matters.

The Ideal Candidate Will Have:

  • Experience in administrative support and coordination.
  • Excellent communication skills, both written and verbal, including email, phone and in-person interactions.
  • Strong organisational and time-management skills and the ability to meet deadlines.
  • Ability to multitask and effectively manage workload.
  • Great attention to detail and be able to solve problems.
  • Good customer service skills and the ability to maintain confidentiality of sensitive information.
  • Proficiency in using Microsoft Word, Excel, Outlook, Teams.
  • Knowledge of Xero accounting software is preferred but not essential, training will be provided for the right candidate.
  • Ability to work independently and collaboratively in a team environment.
  • A ‘can do’ attitude, calm, conscientious and professional approach to work.
  • Willingness to learn, adapt and improve.

Additional Information:

  • Employment Type: Part-Time, Fixed Term Contract

  • Hours: 14 hours per week, spread across a Monday, Wednesday & Thursday
  • Salary: £14.80 per hour | £10,774.40 gross per annum
    • While we are not officially registered with the Living Wage Foundation, we believe in fair compensation and have chosen to voluntarily match this role against the official London Living Wage to reflect the true cost of living and working in London.
  • Start Date: Wednesday 2nd September 2026
  • Line Manager: Guardianship Manager, Danielle Flood and Finance Assistant, Jean Rosete
  • DBS Disclosed: Enhanced check required.
