Job Summary
We are seeking a proactive and highly organised Administrator to support the smooth and efficient running of our front of house service and clinical departments. Working as part of a multidisciplinary team within a private hospital setting, you will provide administrative, reception and clerical support to ensure the seamless coordination of hospital schedules, patient booking and documentation, and staff communications.
The postholder forms part of the wider Guest Services Team and will be required to contribute to the delivery of a cohesive administrative function across the hospital. This includes an expectation to provide cross-cover and administrative support across all service areas, including outpatients, radiology, reception, and back-office functions, as required to meet service needs.
Key Responsibilities
- Maintain and update lists and schedules, ensuring all appointments are accurately booked and communicated
- Welcome and host patients from our front of house reception facilities
- Booking and liaising with patients for forthcoming lists
- Attend and support planning meetings
- Liaise with consultants, anaesthetists, nursing staff, and other hospital departments to coordinate patient pathways
- Prepare and manage patient documentation, including consent forms, surgical checklists, and pre-operative assessments
- Ensure accurate and timely data entry into hospital systems
- Handle confidential patient information in line with GDPR and hospital data protection policies
- Provide general administrative support to the Administration Manager and clinical teams
- Support the wider Guest Services function as required, including providing administrative cover across outpatients, radiology, reception, and back-office services
- Work collaboratively with administrative colleagues to ensure continuity of service and a consistent patient experience across all departments
- Demonstrate flexibility in supporting service demands, including redeployment of administrative support in response to operational pressures

Person Specification
Essential
- Strong interpersonal and communication skills, both verbal and written
- Excellent organisational skills and attention to detail
- Proficiency in use of IT including Microsoft Office and other digital platforms
- Ability to prioritise workload and manage multiple tasks in a fast-paced environment
- Understanding of patient confidentiality and data protection regulations
- Ability to work flexibly as part of a wider administrative team, supporting multiple service areas when required

Desirable
- Previous experience in a hospital or healthcare role – clinical experience essential for swift application of skills
- NVQ Level 3 in Business Administration or equivalent qualification
