We are recognised as the UK's leading specialist motoring law firm, providing exceptional legal representation to clients across England and Wales. Due to our continued growth, we are looking to appoint an experienced, proactive, and highly organised Head of Administration to lead our busy administration team.

This is a pivotal management role within the firm. You will oversee a dedicated team of administrators who are at the heart of our business, ensuring the smooth day-to-day operation of the office and providing vital support to our legal teams. Your leadership will ensure that every client receives an exceptional level of service from their very first contact with us.

The Role

As Head of Administration, you will be responsible for managing and developing the administration team while overseeing the firm's administrative processes. You will work closely with our Director, Solicitors, Paralegals, and Legal Team to ensure the office operates efficiently and that clients receive a seamless service.

Key responsibilities include:

  • Leading, motivating, and developing the administration team.
  • Managing the allocation and monitoring of all new client enquiries and ensuring they are directed promptly to the appropriate department.
  • Overseeing incoming telephone calls and client enquiries, ensuring a professional and efficient service at all times.
  • Liaising daily with Paralegals, Solicitors, and other departments to ensure effective communication across the firm.
  • Monitoring court diaries and ensuring matters are fully prepared, clients have confirmed representation, and fees are in place where required.
  • Managing incoming post and correspondence, ensuring all documents are distributed accurately and without delay.
  • Maintaining efficient administrative systems and office procedures.
  • Overseeing office organisation, ordering supplies, and ensuring the office environment remains professional and well managed.
  • Identifying opportunities to improve processes and increase efficiency across the administration function.
  • Supporting the Directors with additional administrative and operational responsibilities as required.

About You

We are looking for someone who thrives in a fast-paced environment, enjoys leading people, and takes pride in delivering exceptional standards.

You will have:

  • Proven experience managing and developing a successful administration team.
  • Outstanding organisational and time management skills.
  • Excellent communication skills, both written and verbal.
  • Exceptional telephone manner with a professional and confident approach.
  • Strong leadership skills with the ability to motivate, coach, and support a team.
  • The confidence to make decisions and solve problems independently.
  • The ability to prioritise a varied workload while maintaining attention to detail.
  • Experience working collaboratively with colleagues across multiple departments.
  • Excellent IT skills, including Microsoft Office and Excel.
  • A proactive, positive attitude and a willingness to take ownership of the administration function.
