About The Role

We are seeking a highly skilled and experienced Head of Event Delivery – IIGS to lead the end-to-end operational delivery of the Infrastructure Investor Global Summit (IIGS). A premier event welcoming over 3,000+ PEI members, 150 sponsoring organisations, and more than 300 speakers. This is a pivotal, hands-on delivery role responsible for the seamless execution of PEI Group’s flagship event as it continues to mature in a dry hire venue with an integrated conference-exhibition (confex) format.

Please note, this role is a 15 month maternity leave cover, starting in November 2026.

Reporting Structure

Reporting to the Head of Event Transformation and Delivery, this role requires an accomplished event delivery professional with deep expertise in large-scale confex production, AV and technical management, vendor negotiation, and experiential execution. The ideal candidate is a hands-on project manager who thrives in a complex, high-pressure environment and can translate strategic vision into flawless on-the-ground delivery.

Responsibilities

Event Planning & Operational Delivery

  • Own and manage the end-to-end operational delivery of the Infrastructure Investor Global Summit, from planning through to post-event close-out with internal and external delivery teams.
  • Develop and maintain a comprehensive event delivery plan and critical path, incorporating all workstreams, milestones, dependencies, and contingencies.
  • Serve as the primary operational lead on-site during the event, managing all logistics, crew coordination, and real-time problem solving.
  • Coordinate all pre-event site visits, production schedules, briefing documents, and run-of-show timelines.

Conference-Exhibition (Confex) & Floorplan Delivery

  • Manage all physical and technical components of the confex format, including floorplan layout, exhibition build-out, signage, branding, networking zones, and sponsor activations.
  • Ensure seamless integration between conference content, sponsor rooms and spaces, and the overall member journey throughout the event.
  • Influence and partner with the AV production team for staging, technical infrastructure, and digital systems to deliver a professional, high-impact member experience.
  • Develop and execute contingency plans for complex, multi-stream production environments in partnership with delivery partners.

Vendor & Supplier Management

  • Collaborate on vendor sourcing, procurement, negotiation, and contracting across all IIGS event suppliers including AV, production, logistics, staffing, F&B, and venue services.
  • Manage ongoing supplier performance, ensuring contractual obligations are met and service standards are maintained throughout the event lifecycle.
  • Collaborate with the Head of Event Transformation and Delivery on supplier strategy and group-level procurement where applicable.

Budget Management

  • Hold full budget accountability for IIGS event delivery, including forecasting, cost tracking, change order management, and post-event reconciliation.
  • Identify cost efficiencies and value-engineering opportunities without compromising quality or the member experience.
  • Provide regular budget updates and variance reports to the Head of Event Transformation and Delivery and wider stakeholders.

Stakeholder & Agency Collaboration

  • Partner with the Head of Event Transformation and Delivery as operational liaison with the appointed partners, ensuring experiential and design concepts are delivered within logistical and budgetary parameters.
  • Build and maintain strong relationships with the venue, local authorities, and key external partners in Berlin and beyond.
  • Provide clear, regular communications to the Head of Event Transformation and Delivery on delivery progress, risks, and escalations.

Post-Event Evaluation

  • Lead the internal post-event evaluation process for IIGS, producing a comprehensive performance report with insights and recommendations for future editions.
  • Capture lessons learned across all cross-functional workstreams and integrate findings into the planning process for subsequent years.
  • Contribute to PEI Group’s broader event transformation agenda by sharing innovations and best practices with the wider delivery function.

About You

Requirements

Qualification & Experience

  • A hands-on event delivery expert with a proven track record managing the full operational lifecycle of large-scale, complex conferences (3,000+ attendees).
  • Specific experience delivering integrated conference-exhibition (confex) formats with floorplan-driven exhibitions is essential.
  • Strong technical knowledge of AV production, staging, and event technology infrastructure.
  • Exceptional project management skills, with the ability to manage multiple concurrent workstreams under pressure and to tight deadlines.
  • Proven vendor management and negotiation skills, with experience contracting and managing major event suppliers.
  • Solid budget management capability, including forecasting, cost control, and reconciliation for multi-million pound event budgets.
  • Excellent communication and stakeholder management skills; able to collaborate effectively across internal teams, agencies, and senior partners.
  • Experience working with and briefing creative agencies to ensure experiential vision is delivered within operational constraints.
  • Familiarity with event technology platforms and a commitment to driving efficiency through innovation.
  • Knowledge of sustainable event practices and ESG considerations within large-scale event delivery.
  • Experience managing international or destination events, particularly in continental Europe, is advantageous.
