Head of Resource and Project Operations (Luxury Events)

Location: North West London

A global production agency fusing curiosity, culture and innovative creativity. They work across luxury brand, entertainment, art, film, fashion and private clients to deliver outstanding experiences.

The Role

The agency is seeking a Head of Resource & Project Operations to lead resource planning across production and creative. The role will provide visibility of upcoming work, team availability and project requirements, helping the agency make informed decisions as priorities change.

The ideal candidate will understand the full lifecycle of global events, from RFP and pitch through pre-production, live delivery and reconciliation. They will strengthen workflows and handovers, anticipate periods of high demand and build strong relationships with freelance talent globally.

Responsibilities

  • Own the agency-wide resource plan across confirmed projects and new business, balancing skills, capacity, deadlines and workloads.
  • Forecast staffing needs with project leads, identifying scheduling conflicts and capacity gaps early and proposing practical solutions.
  • Manage annual leave, absences and handovers to ensure projects remain appropriately resourced.
  • Build and maintain a trusted global network of freelance producers, creatives and event specialists, coordinating bookings in line with project needs and budgets.
  • Support permanent and freelance recruitment, including role briefs, sourcing, interviews and onboarding.
  • Oversee freelancer hours, invoices and contracts, working closely with Operations to ensure terms are agreed before work begins.
  • Provide clear reporting on resource demand, upcoming pressure points and the impact of new work, while helping teams adapt to changing priorities.

About You

  • Significant resource or project operations experience within an events or experiential agency.
  • Strong understanding of experiential projects from RFP and pitch through delivery and reconciliation.
  • Experience managing teams across multiple concurrent pitches and projects.
  • An established network of trusted freelance production, creative and event talent.
  • Confidence advising senior project leads and navigating conversations around workloads, leave and competing priorities.
  • Excellent judgement around capacity, timelines, project risk and team support.
  • Highly organised, commercially aware and collaborative, with a proactive and calm approach to problem-solving.
