Reports to: Directors

Location: North London

Employment Type: Full-Time

Salary: Competitive, dependent on experience with performance-related bonuses.

Key Outcomes

The Head of Operations must accomplish the following measurable results within a 24-month period:

  • Growth: Deliver year-on-year revenue growth across the group, working towards our two-year target of £1,500,000 in annual turnover (our five-year target is £2,500,000).
  • Regulatory leadership: Lead Bodylogics through its pending CQC registration to a successful outcome and keep the group inspection-ready.
  • Operational excellence: Run four efficient, well-utilised clinics that deliver a consistently outstanding patient experience.
  • Strong leadership: Build capable, accountable clinic managers and a high-performing team aligned to our values.

Job Overview

We are seeking an experienced, dynamic, and commercially-minded Head of Operations Manager to oversee the daily management and smooth running of our four busy clinics. Reporting directly to the Clinic Director, you will line manage our Clinic Managers and Administration team, ensuring the highest standards of clinical care, operational efficiency, and financial performance across every site.

This is not a caretaker role. It is a growth and leadership role. The successful candidate will own two mission-critical objectives: leading Bodylogics through its pending CQC registration to a successful outcome, and driving year-on-year revenue growth as we work towards a two-year target of £1,500,000 in annual turnover and a five-year target of £2,500,000. We are looking for someone who has demonstrably done something similar before and can show us how.


Primary Objectives - What Success Looks Like

Everything in this role ladders up to three core outcomes. Performance will be measured primarily against these:

  1. Growth: Deliver year-on-year revenue growth towards stated targets
    • Grow group revenue every year, in line with our two and five-year plan to reach £2,500,000 in annual turnover in year five.
    • Improve room utilisation across all clinics (target 80–90%) as the primary engine of scalable growth.
    • Develop and expand revenue streams. This includes new services, improved retention, higher conversion to Packages of Care, and support in the growth of the corporate offering.
    • Evidence required: candidates must be able to demonstrate, from their current or recent roles, how they have grown a healthcare (or comparable) business year on year, specifically with the numbers and the methods behind it.

  1. Regulatory Leadership: Lead our pending CQC registration to success

    • Take ownership of Bodylogics' pending CQC (Care Quality Commission) status, leading the organisation through registration to a successful outcome.
    • Build and embed robust CQC-compliant systems, policies, and evidence across all clinics, and act as the operational lead for inspection readiness.
    • Maintain ongoing compliance as new services (e.g., GP, aesthetics) are introduced, ensuring the group is always inspection-ready.
  2. Operational & Clinical Excellence: Run four clinics that patients return to

    • Ensure consistently high standards of clinical care and patient experience across every site, protecting our outstanding reputation.
    • Deliver operational efficiency, strong utilisation, and a smooth patient journey from first contact to discharge.
    • Build capable, accountable clinic leadership using our OAR / BED values framework (Ownership, Accountability, Responsibility).

Key Responsibilities

  1. Operational Management

    • Day-to-Day Operations: Oversee daily operations across all four clinic locations, ensuring seamless, efficient workflow across all sites.
    • Clinic Efficiency: With the support of the Admin team and Clinic Managers, optimise appointment scheduling, rosters, and room allocation to maximise resource use, minimise downtime, and improve patient flow.
    • Patient Experience: Ensure the whole Bodylogics team maintains a high standard of patient care and customer service, and that complex queries and complaints are handled professionally and with a patient-centred approach.
    • Quality Assurance: Implement and monitor adherence to clinical policies, procedures, and best practices for safe, consistent, high-quality care across all clinics.
    • Inventory & Facilities: Oversee procurement, stock, and maintenance of clinical supplies and equipment, and ensure all facilities meet the highest standards of cleanliness, safety, and health & safety compliance.
  2. Financial Oversight

    • Budget Management: Develop, monitor, and manage clinic budgets with the Clinic Director and Accounts Team, ensuring each clinic operates within its financial parameters.
    • Financial Reporting: Regularly review performance, analysing revenue, profit margins, expenses, and cash flow, and provide detailed reports, alongside the Accounts Team to the Clinic Director on the financial health of each site.
    • Commercial Growth: Identify opportunities to grow revenue and profitability by improving utilisation, retention, and conversion, all while not compromising patient care or quality.
    • Billing & Collections: Oversee billing to ensure services are accurately invoiced and monitor collections to maintain positive cash flow.
  3. Staff Management

    • Line Management: Directly manage Clinic Managers and the Admin team, providing leadership, support, and mentorship to run each site effectively.
    • Staff Performance: Set and review performance goals, holding regular one-to-ones to monitor progress, give feedback, and support development, tying accountability to our OAR values.
    • Workforce Planning: Oversee staffing across all clinics including recruitment, onboarding, training, and cover to meet patient demand.
    • Team Communication & Culture: Foster a collaborative, supportive culture through clear communication and regular team meetings, keeping everyone aligned to clinic goals and values.
    • Training & Development: Develop ongoing training and internal progression pathways for clinical and administrative staff.

  1. Strategic Planning & Development

    • Business Growth: Design and implement strategies to grow revenue such as our new services (GP, podiatry, aesthetics, well-being memberships), optimised current offerings, and stronger patient retention. This is in support of the £2.5m five-year goal.
    • Service Development: Support the roll-out of new services and full 'health hub' offerings across sites, ensuring each launches operationally sound and compliant.
    • Process Improvement: Continuously assess and improve clinic processes to enhance efficiency, patient care, and staff satisfaction.
    • Regulatory Compliance: Ensure all clinics comply with healthcare regulations, data protection, and industry standards, with CQC readiness as a standing priority (see Primary Objectives).
  2. Reporting & Analysis

    • KPI Monitoring: Set and monitor KPIs for operations, patient satisfaction, financial performance, and staff productivity, using data to drive decisions.
    • Performance Reporting: Provide regular, detailed reports to the Clinic Director, highlighting successes, challenges, and areas needing intervention, with clear action plans.

Essential Skills & Experience

  • Proven experience managing multi-site healthcare or physiotherapy clinic operations.
  • Demonstrable track record of driving year-on-year revenue growth in a clinic or comparable business and you are able to evidence how it was achieved, with figures.
  • Experience of CQC registration and/or maintaining CQC compliance (or equivalent healthcare regulatory frameworks).
  • Strong financial acumen including budgeting, financial reporting, and cost management.
  • Excellent leadership skills, with the ability to mentor, motivate, and manage clinic managers and staff.
  • Exceptional organisational and problem-solving skills with a keen eye for detail.
  • Outstanding communication and interpersonal skills to liaise with patients, staff, and external partners.
  • Sound knowledge of healthcare regulation, compliance, and clinical best practice.

Desirable Skills

  • Background in physiotherapy or healthcare management (not essential).
  • Experience implementing and managing clinical software systems.
  • Experience launching new services within a growing group.
