About BEYOND Studio
BEYOND Studio is growing. As we take on more public and private sector clients and international consultancy and conferencing projects, we need someone who can coordinate and leverage our systems and resources to fully deliver on our opportunities and ambition.
This is a senior role for someone ready to take ownership of the studio's operational backbone: coordinating a team of freelancers, senior consultants and contracted (PAYE) staff, maintaining resourcing and budget oversight, and ensuring every project is properly tracked, documented, and delivered on time.
Key details
- Contract: 4 to 5 days per week for the first three months (September to November, covering onboarding and BEYOND Conference delivery), reducing to a minimum of 3 days per week from January 2027 (exact working pattern negotiable for the right candidate)
- Salary: £45,000 to £50,000 per annum FTE, pro rata to days worked
- Start date: Mid September 2026
- Reporting to: Tara Solesbury and Sam Michel, Directors, BEYOND Studio
- Location: Remote, South of England preferred, with in-person meetings required in Bath and Brighton
Responsibilities
Production and Project Management
- Own and maintain project plans across all active work, spanning the BEYOND Conference and our public and private sector consultancy projects, in the UK and internationally
- Own Airtable as the single source of truth across all workstreams
- Track progress against plans and flag risks or delays to the senior team in good time
- Coordinate our mixed team of freelancers, senior consultants and contracted (PAYE) staff

Contracts and Work Schedules
- Issue freelance and consultancy agreements and work schedules, and support contracts and onboarding for PAYE team members
- Track all contracts and agreements from issue through to close
- Maintain a clear view of resource allocation across the whole delivery team
Budget Management
- Monitor project budgets against actuals and flag variances promptly
- Work closely with BEYOND Studio's fractional Finance Director to build financial oversight into the workflow
- Take on increasing responsibility for budget management as the role develops
Team and People Coordination
- Support recruitment, onboarding and day-to-day management of our mixed team
- Apply sound HR practice to onboarding, contracts, and performance monitoring
Systems and Tech Stack
- Act as the organisation's systems owner, keeping Airtable, HubSpot, Google Workspace, and Slack running consistently across the team

Required:
- Significant senior-level experience in operations, production, or business management, ideally within the creative, cultural, or events sector
- Experience supporting the growth of a small or medium-sized enterprise (SME)
- Comfortable working on international projects and with international stakeholders
- Confident managing upward, at a fast pace, and against tight deadlines
- Financially literate, with hands-on budget management experience across project or programme budgets in the region of approximately £500,000 or more
- Experience managing a mixed workforce of freelancers, senior consultants, and permanently contracted (PAYE) staff
- Systems-minded and organised, able to own tools such as Airtable, HubSpot, Google Workspace, and Slack
We are looking for someone who is:
- Comfortable moving between strategic oversight and hands-on delivery
- Financially confident and commercially aware
- Excited to help a small studio grow, not just maintain what already exists
