Head of Operations (Maternity Cover)
Heyoo | Fixed-term, 12 months | From week commencing 12th October 2026
Hybrid working | Full-time | City of London / Battersea
Heyoo is a HubSpot Platinum Solutions Partner and Revenue Operations consultancy, helping mid-market businesses (£3m–£50m revenue) build the systems their revenue runs on. We're a lean, senior team working across manufacturing, lending and finance, professional development, automotive, and recruitment, and we're looking for someone to step in and run our internal operations while our Head of Operations is on maternity leave.
This isn't a caretaker role. You'll own real decisions from day one, keep a demanding portfolio of live client work on track, and be the person the Managing Director relies on for an accurate, current picture of what's happening across the business.
What you'll be doing
Financial control
- Own the day-to-day client invoicing process, ensuring invoices are raised accurately and in line with agreed Statements of Work, retainers, and payment schedules
- Maintain visibility of outstanding receivables and proactively follow up on overdue invoices, escalating where required
- Maintain accurate records of invoicing and payment status, providing the Managing Director with clear visibility of outstanding and upcoming revenue
- Ensure the financial administration surrounding client engagements is accurate, timely, and aligned with agreed commercial terms
Contracts and commercial operations
- Act as the operational owner of Heyoo's Master Services Agreement (MSA), maintaining the standard agreement and coordinating updates where required
- Manage the MSA process with clients, including issuing agreements, tracking signatures, and maintaining accurate records
- Ensure appropriate contractual documentation is in place for client engagements and that signed SOWs are correctly aligned with the wider commercial framework
- Maintain clear visibility of client contractual arrangements and support the Managing Director with operational and commercial queries where required

Project mobilisation and delivery operations
- Own the operational handover of newly signed work into delivery, translating the scope, deliverables, timelines, and responsibilities within a signed SOW into a structured project plan
- Set up new client projects within ClickUp, ensuring phases, tasks, milestones, owners, timelines, and dependencies accurately reflect the agreed scope
- Ensure projects are structured clearly enough for the delivery team to begin work with a shared understanding of what has been sold, what needs to be delivered, and when
- Maintain consistency in how projects are established and managed within ClickUp
Project management
- Take ownership of project management for larger and more complex client engagements, overseeing delivery from mobilisation through to completion
- Maintain project plans, timelines, milestones, and dependencies, working alongside the relevant strategic and technical delivery leads
- Coordinate the internal team and external resources required to deliver against the agreed scope
- Maintain visibility of progress, budget, delivery risk, and blockers, ensuring issues are surfaced and addressed early
- Keep projects moving by holding contributors accountable to agreed actions and deadlines
- Manage changes to delivery plans and support the identification and management of scope changes where required
- Provide the Managing Director and relevant client leads with an accurate, current picture of project health
Contractor management
- Own the operational management of Heyoo's external contractors and delivery partners
- Coordinate contractor onboarding and ensure appropriate contractual arrangements, scopes, deliverables, timelines, and expectations are in place
- Manage contractors throughout their engagement, maintaining visibility of workload, commitments, delivery, and performance
- Coordinate contractor activity alongside internal project teams to ensure external resources are effectively integrated into delivery
- Identify and escalate capacity, performance, or commercial issues before they affect client delivery

What we're looking for
- Proven experience in an operations, project management, or delivery operations role. Consultancy, agency, or professional services background is ideal
- A track record of taking complex client projects from mobilisation through to successful completion
- Comfortable with contracts, Statements of Work, and commercial terms, with strong attention to detail
- Experience with invoicing, accounts receivable, or similar financial administration
- Experience managing external contractors or delivery partners
- ClickUp (or similar project/task management system) experience is essential
- Confident holding senior stakeholders, clients, and contractors accountable to deadlines
- Experience with Xero, InvoiceStack, Zapier, or Excel advanced functions is a plus
