The Role
As the Head of Workplace and Facilities, you'll lead our team in managing all daily office, facility, and group business travel operations. Your mission is to ensure operational excellence across all our global offices, creating a productive, safe, and cohesive environment. You'll also be the system owner for key tools supporting these operations. This role involves leading strategic workplace projects, including office consolidation, to optimise our global footprint and deliver a consistent office and cultural experience. Ultimately, you'll play a vital role in supporting our growth and contributing to our group sustainability goals, collaborating closely with stakeholders across the organisation.
How To Make An Impact
Workplace Strategy
- Develop and implement a comprehensive Office Workplace Design Concept playbook to ensure a cohesive, branded look and feel across all company locations that supports the global ways of working and our location strategy.
- Act as the primary Project Manager for significant workplace initiatives, ensuring robust stakeholder engagement (e.g., People & Culture, Internal IT, Finance, Legal) and adherence to timelines and budgets with the local project managers for each project.
Facilities Operations & Security
- Manage physical security protocols and systems, supporting comprehensive documentation and ensuring effective risk mitigation strategies are in place.
- Spearhead essential support for ISO audits related to facilities and physical security standards working closely with Information Security, Internal IT, etc.
- Serve as the system owner for various workplace tools, including ticketing systems, desk booking platforms, and content management systems for internal communications (e.g., TV screens). This includes scaling out systems globally to maintain a cohesive experience across all locations.

Team Leadership & Management
- Lead, mentor, and develop a dedicated team of 20 people (Direct report 5 people): Office Managers, Facility managers, Project manager and Group Travel Coordinators, fostering a culture of excellence, collaboration, and continuous improvement.
- As needed, oversee your team's support for the People & Culture department, particularly in the local coordination and execution of global company events and other culture-related initiatives.
Group Travel And System Program Management
- Act as the system owner for corporate travel management tools (e.g., Egencia, American Express GBT), ensuring optimal functionality and user experience.
- Champion the enforcement of the company's travel policy, actively seeking and proposing improvements to enhance efficiency, cost-effectiveness, and employee experience.
Sustainability & Reporting
- Support the Sustainability team with annual data collection of the company's annual Greenhouse Gas (GHG) emissions reporting, collecting and analysing data related to Food & Beverages, Electricity, Rent, Office Interior (furniture, fixtures), Office Supplies, Postage and Business Travel.
- Provide critical input from a facilities perspective for the Double Materiality Assessment, supporting the company's compliance with the Corporate Sustainability Reporting Directive (CSRD).
Success Metrics
Success In This Role Will Be Measured By
- The successful execution of office consolidation projects on time and within budget.
- The seamless implementation of our new global travel booking system.
- Achieving measurable improvements in employee satisfaction scores regarding our office environment and facilities.

About You
Leadership: Demonstrated leadership in managing dispersed teams across geographies, fostering a culture of excellence and operational efficiency.
Strategy & Projects: Expertise in project management for significant workplace initiatives, such as office consolidations, mergers, and design implementations, with a focus on consistent global brand identity.
Your background
- Experience: Proven experience (8-10+ years) in Workplace, Facilities, or Real Estate management within a global or multi-site organization.
- Compliance & Sustainability: Strong understanding of global HSE regulations, ISO standards, and experience supporting ESG reporting (e.g., Greenhouse Gas emissions, CSRD compliance).
- Education: Bachelor’s or Master’s degree in Facilities Management, Business Administration, Engineering, or a related field. Relevant professional certifications in facilities management or safety are highly advantageous.
- Travel: Willingness and ability to travel internationally to our global office locations as required.
