Wetherby Preparatory School is an independent boys’ preparatory school (ages 7 – 13) of 350 boys set in the dynamic area of Marylebone in London. Wetherby prepares its pupils for many of the top day and boarding senior schools in the country and therefore works at a level significantly above National Curriculum expectations.

Wetherby Preparatory School is seeking a Headmaster's PA and Front Desk Administrator to join our team. This is a dual role combining the responsibilities of Personal Assistant to the Headmaster and Front Desk Administrator.

The successful candidate will provide high-level administrative and organisational support to the Headmaster while also managing the front desk and acting as the first point of contact for all visitors, parents, and staff. The role also includes first aid coordination and administrative support across the school.

Key Responsibilities

Headmaster’s PA Duties

  • Provide full administrative support to the Headmaster, including drafting correspondence, preparing documents, and handling confidential matters.
  • Manage the Headmaster’s calendar, schedule appointments, and arrange meetings with internal and external stakeholders.
  • Prepare materials and agendas for meetings; attend when needed to take minutes and follow up on action points.
  • Liaise with staff, parents, governors, and external partners on behalf of the Headmaster.
  • Coordinate travel arrangements and support the headmaster’s day-to-day operations.
  • Assist with strategic planning and preparations for inspections, leadership meetings, and school improvement initiatives.

Front Desk Administration

  • Greet and assist visitors, maintaining a professional and welcoming front-of-house presence.
  • Handle telephone and email enquiries and manage general communications professionally and efficiently.
  • Manage parental queries, pupil absences, and ensure the Headmaster is informed of relevant matters.
  • Maintain registration and attendance records, including necessary follow-up.
  • Provide administrative support to staff as required and help ensure smooth day-to-day school operations.

  • Relevant administrative qualifications or equivalent experience.
  • First Aid trained or willingness to complete a comprehensive 3-day First Aid course.
  • Experience in a similar PA or school administrative role is desirable.
  • Warm, professional and welcoming demeanour.
  • Strong interpersonal skills and ability to work with a range of stakeholders.
  • Proactive and solution-focused with strong attention to detail.
  • Calm under pressure and flexible in responding to the day-to-day needs of a busy school office.
  • Proven experience in administrative and front-of-house roles, ideally within an educational setting.
  • Strong diary management and organisational skills.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office, Excel and general IT systems.
  • Experience with school management systems (e.g. iSAMS) is an advantage.
  • Ability to multitask, work under pressure, and handle confidential information discreetly.
