Health & Safety & Facilities Coordinator

An exciting opportunity has arisen to join the business as a Health & Safety & Facilities Coordinator, supporting our GRS refurbishment sites in Livingston and Stoke.

Working closely with site management and operational teams, you will provide day-to-day coordination and administrative support across Health & Safety, facilities, servicing, maintenance and contractor management.

The role will suit an organised and practical individual who enjoys working in a fast-paced operational environment and is confident managing multiple priorities. You will help ensure that Health & Safety and Facilities requirements are effectively coordinated, documented and followed across both sites.

Some travel between our Livingston and Stoke locations will be required. This is expected to be limited to approximately 2–3 nights away per month at most.

The role may also involve undertaking other reasonable duties as required to support the needs of the business.

Salary: Depending on experience - will be discussed at interview

Hours: Monday to Friday, 8.00 am to 4.00 pm i.e. 37.5 hours with 30 minutes for lunch (unpaid).

Key Responsibilities

Health & Safety

  • Maintain accurate and up-to-date Health & Safety records and documentation for each site.
  • Monitor outstanding Health & Safety actions and work with site teams to ensure actions are completed within agreed timescales.
  • Support regular site audits and inspections, helping to identify areas for improvement and ensuring agreed actions are followed up.
  • Assist site management with the implementation and maintenance of Health & Safety procedures and controls.
  • Support the review and updating of risk assessments and safe working practices.
  • Assist with the preparation and coordination of Health & Safety meetings, including maintaining meeting records and action logs.
  • Help ensure that relevant Health & Safety documentation is readily available and maintained in accordance with company requirements.

Facilities & Site Coordination

  • Maintain site records relating to servicing, maintenance, inspections, insurance, certificates and contractor activity.
  • Coordinate planned servicing, maintenance and repair works with site management and operational teams.
  • Liaise with contractors and service providers to arrange site visits and works.
  • Help ensure planned works are completed on time and with minimal disruption to site operations.
  • Maintain servicing and inspection schedules and follow up on any outstanding requirements.

Contractor Management

  • Act as a day-to-day contact for third-party contractors and service providers attending site.
  • Check contractor documentation, including RAMS, risk assessments and work permits, in line with company procedures.
  • Ensure the appropriate documentation and approvals are in place before contractors commence work.
  • Support contractors with site access requirements and ensure they understand and follow relevant site Health & Safety procedures.
  • Maintain accurate records of contractor activity and associated documentation.

Knowledge/Skills/Experience/Special Requirements

  • IOSH accreditation or equivalent Health & Safety experience is desirable.
  • Previous experience in a Health & Safety, Facilities, Site Administration or similar coordination role.
  • Experience working within a production, operational, industrial or fast-paced environment would be advantageous.
  • Good understanding of Health & Safety procedures and documentation.
  • Experience of working with contractors and external service providers would be beneficial.
  • Good organisational skills, with the ability to manage several tasks and priorities at the same time.
  • Able to work independently and use initiative while knowing when to seek guidance or support.
  • Good attention to detail, particularly when maintaining records and checking documentation.
  • Confident communicating with colleagues, managers, contractors and external suppliers.
  • Good verbal and written communication skills.
  • Competent using Microsoft Office, including Word, Excel and Outlook.
  • A practical and positive approach, with the ability to adapt to changing priorities.
  • Knowledge of an automotive defleet and refurbishment environment would be advantageous but is not essential.
