An Opportunity with Our Health Records Team
An opportunity has arisen to join our Health Records Team at University Hospitals of Derby and Burton NHS Foundation Trust. Health Records Officers undertake a varied role involving retrieval, tracking, movement, preparation and management of patient records, alongside a range of administrative duties.
We are seeking motivated, reliable and organised individuals to support the management of patient health records across our sites. The role is vital in ensuring clinical teams have timely access to patient information, supporting the delivery of safe and effective patient care.
This vacancy will be used to fill positions at both The Johnson Building (TJB) and Royal Derby Hospital (RDH).
About The Role
The successful candidate will be responsible for:
- Retrieving, tracking, preparing, delivering and filing patient health records.
- Ensuring that all documentation is scanned accurately into the Electronic Patient Record.
- Reviewing paper casenotes to support retention and destruction processes.
- Supporting the wider administration function within the Health Records Service.
Whilst core responsibilities of the role are the same across both locations, there are some differences in the day-to-day working environment:

- Extended periods of desk-based administrative work (both sites)
- Handling large casenotes and bundles which may weigh over 10kg (both sites).
- Regular movement and transportation of health records (both sites)
- Use of roll cages and manual handling activities (both sites).
- Greater levels of working at height (TJB site)
- Some working at height (RDH site)
- Retrieval and delivery of records to clinics, involving frequent walking across the hospital site (RDH site)
- A requirement to support other areas of the department, across all our locations, as required to maintain service delivery (both sites).

Roles will be fixed term contracts until end of March 2027.
