Health & Safety Coordinator
Are you looking to build a career in Health & Safety while making a real difference in an essential service? At Portsmouth Water, we're seeking a proactive and organised Health & Safety Coordinator to support the day-to-day delivery of our health and safety programme. Working closely with our Health & Safety Advisor, you'll play a key role in maintaining safety records, supporting compliance activities, coordinating training, and helping to ensure a safe and healthy working environment across the business. This role offers an excellent development opportunity, with ongoing technical guidance and a clear pathway into a Health & Safety career.
Key Responsibilities
- Log workplace accidents, near misses, and incidents into safety software (e.g., RIDDOR reports, Datix). Compile statistical data and generate trending reports for management.
- Track compliance metrics like fire warden certifications, risk assessment renewal dates, and health surveillance appointments.
- Administration: Maintain hard-copy and digital filing systems for audits, safety policies, and equipment maintenance logs.
- Serve as the first point of contact for safety-related inquiries.
- Support the maintenance of health and safety policies, procedures and records by tracking review dates, updating document registers and preparing draft updates for review by the Health & Safety Advisor.
- Attend site visits with, or under the guidance of, the Health & Safety Advisor to record observations, update actions and support follow-up administration.
- Maintain the risk assessment tracker, prompt managers when reviews are due and support the Health & Safety Advisor with document control and follow-up actions.
- Record incidents and near misses in the relevant system, collate supporting information and escalate to the Health & Safety Advisor for review, investigation and action planning.
- Prepare routine health and safety data, dashboards and meeting packs using agreed templates, ensuring information is accurate and submitted on time.
- Promote proactive reporting of hazards, near misses and high potential incidents and develop actions for improvements.
- Monitor external service providers to audit, inspect and maintain safety related equipment and regulatory risk assessments (including fire risk assessments, first aid, breathing apparatus etc).
- Proficiency in Microsoft Office Suite (Word, Excel, SharePoint, and Outlook) and experience managing safety or HR databases.
- High attention to detail for handling confidential records, tracking expiry dates, and maintaining accurate logs.
- Strong written and verbal communication for interacting with staff at all levels and external contractors.
- A foundational understanding of general UK health and safety practices (such as IOSH or NEBOSH qualifications) is desirable.
- Review our policies, procedures and risk assessments and communicate changes to ensure our teams have the best possible resources to support with risk control.
- Monitor performance through collation of leading and lagging information and prepare for periodic management reports and presentations.
- Act as an initial point of contact for routine health and safety administration queries and refer technical matters to the Health & Safety Advisor.

Skills, Qualifications & Competencies
- Demonstrates high standards, leading by example and promoting a positive safety culture.
- Excellent communicator with the ability to influence.
- Strong stakeholder engagement skills and customer-focused approach.
- Self-motivated, enthusiastic and able to foster collaborative working.
- Excellent problem solving and analytical skills.
- Strong IT skills, including use of Microsoft packages.
- Strong administration skills, accuracy, IT confidence.
- Excellent knowledge of health and safety legislation, policy and best practice is desirable.
- Experience of risk management, method statement review, site inspections and investigations.
- Demonstrable experience of working in a safety environment within the Utilities, Engineering, Construction or Manufacturing sectors.
- IOSH or/and NEBOSH qualification.
- Must hold a full and valid driving licence.
- Experience using compliance systems.
If you are successful for the role, you will be required to undergo Baseline Personnel Security Standard (BPSS) pre-employment checks that will include a basic disclosure check. Depending on the role, you may also be required to go through the national security vetting process for either a CTC or SC clearance check. Any offer of employment is conditional upon completion and receipt of satisfactory checks.
