Health & Safety & HR Administration Assistant Apprentice

Summary

The role will provide administrative support to both the HSEQ and Human Resources functions of TMO Highways. An excellent opportunity for someone looking to start or develop their professional office-based career. You will gain experience across Health & Safety, compliance, training, recruitment and HR administration.

Wage: £16,640 for your first year, then could increase depending on your age

Training course: Business administrator (level 3)
Hours: Monday - Friday. 7.30am - 5.30pm. 40 hours a week
Start date: Monday 30 November 2026
Duration: 1 year 9 months

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

Key Responsibilities

Health, Safety, Environment & Quality (HSEQ) Administration

  • Maintain health & safety records, registers, databases and filing systems.
  • Assist with the administration of training records, qualifications, licences and competency matrices.
  • Support the production, issue and control of company documents, ensuring document numbers and revision status remain accurate.
  • Assist with the administration of audits, inspections, accident reports and corrective actions.
  • Update company compliance systems with accurate information.
  • Support the maintenance of company accreditations, certifications and supplier compliance records.
  • Monitor training and compliance expiry dates and support renewal activities.
  • Prepare reports, meeting minutes and HSEQ performance information as requested.
  • Provide administrative support for HSEQ projects and continuous improvement initiatives led by the HSEQ Manager.

Human Resources Administration

Recruitment & Onboarding
  • Support recruitment activities, including arranging interviews, coordinating candidate communications and maintaining recruitment records.
  • Assist with pre-employment checks, including Right to Work checks and reference requests.
  • Prepare offer letters, contracts of employment and onboarding documentation.
  • Support employee onboarding and induction activities for new starters.
Employee Records & HR Systems
  • Maintain accurate employee records, personnel files and HR databases.
  • Maintain and update the BrightHR system, ensuring employee information remains accurate and up to date.
  • Set up new employees on BrightHR and process employee lifecycle changes, including contractual updates and employee terminations.
  • Maintain absence, holiday, training and compliance records within HR systems.
HR Administration & Employee Support
  • Prepare HR correspondence, forms and employee communications.
  • Support the administration of annual leave, sickness absence and return-to-work processes.
  • Maintain employee training and development records and coordinate training activities.
  • Provide administrative support for probation reviews, disciplinary matters, grievances, investigations and other employee relations processes under the direction of the HR Manager.
  • Prepare meeting invitations, documentation packs and correspondence for HR meetings.
  • Ensure all employee information is handled confidentially and in accordance with GDPR requirements.
HR Projects & Continuous Improvement
  • Support the HR Manager in the delivery of HR projects and continuous improvement initiatives.
  • Assist with the review and maintenance of BrightHR permissions, workflows and system administration.
  • Support the development and maintenance of company-wide training matrices and training schedules.
  • Assist with HR policy reviews, process improvements and HR system enhancements.
  • Prepare reports, data and documentation to support HR initiatives and projects.

Skilled in the use of multiple IT packages and systems relevant to the organisation in order to:

  • write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages.
  • Able to choose the most appropriate IT solution to suit the business problem.
  • Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals.
  • Makes recommendations for improvements and present solutions to management.
  • Drafts correspondence, writes reports and able to review others' work.
  • Maintains records and files, handles confidential information in compliance with the organisation's procedures.
  • Coaches others in the processes required to complete these tasks.

Training schedule

The learner will be studying the Level 3 Business Administrator Apprenticeship Standard qualification. No attendance at college, all training will be delivered within the workplace or online.

Requirements

Essential qualifications:

  • GCSE in: English (grade 4/C) Maths (grade 4/C)
