Business Administrator (Level 3) Apprenticeship Opportunity
This is a fantastic opportunity to join a growing healthcare business and work closely with an experienced sonographer, gaining practical experience across healthcare administration, patient services, and clinic support while completing a Level 3 Business Administrator apprenticeship.
About the Role
Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.
What You'll Do at Work
We are looking for a reliable, organised, compassionate, and committed individual who is keen to build a long-term career within healthcare.
This is a varied role and is not a traditional office-based administration position. You will work across different clinic locations, supporting the sonography team and providing a professional and welcoming service to patients.
Clinic Locations
Clinic locations currently include Canvey Island, Thorpe Bay, Braintree, Billericay, and Chelmsford, with additional pop-up clinic locations potentially being introduced as the business grows.
Travel Requirements
Travel is therefore an essential part of this role. A full UK driving licence and regular access to a vehicle are required.
We understand that travelling to different locations can feel daunting for a new apprentice. You will be fully supported with your travel and logistics and will not simply be expected to figure everything out yourself. You will receive guidance, training, and support as you settle into the role.
However, candidates must consider the travel requirements carefully before applying and be comfortable with the possibility of working at different clinics throughout the week.
The role also involves some Saturday working and occasional clinic days operating between 8:00 am and 6:00 pm.
This is a 13-month commitment, and we are looking for someone who is genuinely ready to commit to the role, develop their skills, and build a career with the business.
Duties
- Assisting in the treatment room to log data and results from the scan
- Assisting the sonographer during scans
- Some travel between sites is required liaising with the doctors
- Vetting reports and confirming all details are correct
- Travelling between clinics to support the sonography team

- Meeting and greeting patients
- Making appointments
- Following up referrals
- Inputting data onto the bespoke system
- Updating records
- Customer service and making the patient feel relaxed and comfortable

The successful apprentice will be expected to:
- Be reliable and committed to the role and apprenticeship

- Be flexible when clinic requirements change
- Attend and complete all required apprenticeship training and coursework

Course Contents
Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information, and produce data analysis where required.
- Produces accurate records and documents including: emails, letters, files, payments, reports, and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports, and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
- Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
- Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
- Demonstrates good communication skills, whether face-to-face, on the telephone, in writing, or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
- Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
- Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings, and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
- Uses relevant project management principles and tools to scope, plan, monitor, and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

Training Schedule
Level 3 Business Administrator standard:
- All training will be carried out within the workplace. You are not required to attend college.
- You will train towards an advanced level standard Functional Skills at level 2 if required.
- The employer will train the candidate on the specific job role.
Desirable Qualifications
- GCSE in:
- English (grade 4-9 or A*-C)
- Maths (grade 4-9 or A*-C)
Share if you have other relevant qualifications and industry experience. The apprenticeship can be adjusted to reflect what you already know.
Other Requirements
We are looking for someone who is genuinely committed to building a career and completing their apprenticeship, rather than someone looking for a temporary job or an apprenticeship to fit around other commitments.
For this role, you will need:
- A full UK driving licence and regular access to your own vehicle
- The ability to travel between Canvey Island, Thorpe Bay, and other clinic locations
- Availability to work Monday - Friday and some Saturdays
- Flexibility for occasional 8:00 am - 6:00 pm clinic days
- Excellent punctuality and attendance
- A strong work ethic and willingness to take responsibility
- The ability to work professionally with patients and confidential information
- A genuine interest in healthcare administration
- The motivation to learn and develop throughout the apprenticeship
- The ability to commit to the full 13-month apprenticeship
