Job Title: Helpdesk Administrator
Location: London
Job Type: Full Time – 5 Days in office - £33,000 – £35,000
Our client is a well-established real estate business with a growing Property Management and Asset Management function, managing a diverse portfolio of properties across the UK. The business works closely across property management, investment, valuation and fund management teams, providing a professional and collaborative working environment.
We are now recruiting for an experienced Helpdesk Administrator to provide efficient administrative and customer service support across the Property Management team. The successful candidate will act as a key point of contact for tenants, contractors and clients, ensuring property-related requests are handled promptly and professionally.
This is a varied and hands-on position combining helpdesk administration, contractor coordination, purchase orders, property data management and general team support. The successful candidate will be highly organised, proactive and confident communicating with a range of stakeholders, with a strong ability to manage multiple requests and priorities effectively.

The role would suit someone with previous property, facilities, helpdesk or administrative experience who enjoys working in a busy environment and takes genuine ownership of their responsibilities.
Key Responsibilities
Helpdesk & Customer Service
- Act as the first point of contact for tenants, contractors and clients regarding property-related requests and issues.
- Manage requests received via phone and email in a professional and timely manner.
- Ensure the Helpdesk system is accurately maintained and updated.
- Coordinate work orders and engineers, ensuring service levels are met efficiently.
Contractor & Property Administration
- Liaise with site teams and contractors to obtain and process quotations accurately.
- Maintain property portfolio data, ensuring contractor contact, access and keyholder details are up to date.
- Raise purchase orders for planned preventative maintenance (PPM) and reactive works.
- Ensure site-specific files and documentation are accurate, valid and up to date.
Team & Business Support
- Provide administrative and operational support to the Facilities Manager and wider Asset Management team.
- Assist with the coordination of property-related works and general administrative requirements.
- Maintain accurate records and ensure information is readily available to the wider team.

Key Requirements
- Previous experience in a Helpdesk Administrator, Property Administrator, Facilities Administrator or similar administrative role.
- Experience within real estate, property management, facilities management or a related environment would be advantageous.
- Excellent organisational and administrative skills, with the ability to manage multiple priorities.
- Strong verbal and written communication skills.
- Confident dealing with tenants, contractors, vendors, clients and internal stakeholders.
- Strong attention to detail and a proactive approach to problem-solving.
- Professional and personable approach with a strong focus on customer service.
- Proficient in Microsoft Office.
- Comfortable working with property management, helpdesk or database systems.
- Yardi experience would be advantageous.
- Ability to work effectively within a busy team environment and take ownership of responsibilities.
