About The Opportunity
A firm of chartered surveyors, based in Soho, central London, is looking for a Helpdesk Administrator to join its property management team. With over 40 years' experience advising on property fund management, asset management, valuations and investment broking, the firm manages a nationwide portfolio of more than 60 properties. This role sits at the centre of that operation, providing customer service and business support as the firm continues to grow.

This is a genuinely varied, front-line role rather than a back-office admin position. You will be the first point of contact for tenants, contractors and clients, giving you regular exposure to every part of the property management process, from raising works orders to liaising directly with site teams and engineers. The department's growth and the firm's stable, debt-free position mean this is a team that is expanding, offering genuine scope to build knowledge across a national property portfolio.

Key Responsibilities
- Handle property-related enquiries received via phone and email, in a professional and timely manner
- Liaise closely with site teams and contractors, ensuring quotations are processed accurately
- Maintain property portfolio data sheets, keeping contractor contact, access and keyholder details up to date
- Raise purchase orders for planned preventative maintenance (PPM) and reactive works
- Ensure site-specific files and documentation remain valid and up to date
- Manage and maintain the helpdesk system in a timely manner
- Provide additional support to the Facilities Manager and wider asset management team
Requirements
- Good standard of education, including maths and English
- Proficient in Microsoft Office
- Strong verbal and written communication skills
- Confident building relationships with tenants, vendors and clients
- Strong organisational skills
- Yardi experience is desirable but not essential
