Skanska Building Services are a leader in facilities management, trusted by top-tier clients across critical sectors. We are currently looking for a Helpdesk Administrator to join our team full-time at the Ministry of Defence Main Building in Westminster.
As a part of the Helpdesk team, you will proactively manage reactive and planned tasks through the CAFM system, undertake general administration and telephone duties. This key post will also see you produce maintenance related documents, reports and proposals, as well as generate work orders, data inputting of completed work orders, time sheets and service reports.
As a Helpdesk Administrator, You Will
- Provide day to day support of the helpdesk through the CAFM system to ensure we meet our contractual obligations.
- Monitor the helpdesk and proactively manage reactive and planned tasks through the CAFM system.
- Update reactive and PPM task Orders in the CAFM system and ensure work record sheets and certificates are uploaded with contractual requirements.
- Proactively liaise with Technical Staff, Supervisors, Managers and Building Users (as appropriate).
- Assist with the generation of detailed monthly reports from the CAFM system for incorporation into the Skanska client Monthly report.
- Monitor outstanding job sheets and produce backlog reports to ensure the CAFM system is up to date at all times.
- Provide exemplar customer service to all internal and external stakeholders.
- Provide administrative support to Supervisory and Management staff across the contract, including but not limited to the following functions H&S, Maintenance, Projects, Finance, Quality and Compliance.
- Anything else deemed reasonably commensurate with grade, as expected by Site Management.

- Experience working in a role requiring high volume data input.
- Be a Team Player.
- Proven experience of working in a high pressure customer service role.
- Good organisational skills.
- Communicate clearly.
- Experience of working in a Facilities Management Helpdesk with knowledge of CAFM systems (desirable).
