Helpdesk Administrator
Location: Clock View Hospital, Liverpool
Working hours: 38.75 hours per week, Monday to Friday, 08:30am - 5pm
Contract: Permanent
Robertson Facilities Management (RFM) provides hard and soft FM services, grounds maintenance, and energy services for single and multi-site locations throughout the UK. We work across sectors including education, healthcare, emergency services, and commercial, assuring our customers of high-quality, best value, and a sustainable approach.
RFM has grown significantly since its inception in 1999, with a turnover of £181m for FY2025 and employs more than 1500 people. We are now on a growth trajectory, with ambitious plans to grow the business to £300m turnover by 2030. Our plans for growth require RFM to ‘make the market’, and to be at the forefront of high-value opportunities in the FM marketplace.
Your new role
What you’ll do:
- The Helpdesk Administrator provides effective and efficient administrative support to the Hard Services FM Manager, Facilities Administrator, and Maintenance Team in order to ensure a high level of service is delivered to the RFM business, customers, and key stakeholders. The postholder works closely with members of the team to establish workload priorities and accommodate changing business demands.
- Produce timely and accurate management information, reports, and records to support compliance and business objectives
- Provide administrative support to facilities management activities, projects, and strategic initiatives, working closely with managers, stakeholders, and client teams
- Manage and respond to internal and external queries, coordinate team mailboxes, and liaise with payroll, HR, finance, SHE, and other support functions
- Maintain accurate real-time records and assist in developing and improving standard operating procedures and administrative processes
- Support helpdesk operations, contractor management, and the coordination of planned preventative maintenance (PPM), reactive works, and associated documentation, including RAMS and SSOW
- Assist with budget monitoring, purchase and sales orders, contract administration, monthly reporting, and performance tracking to ensure activities are delivered on time and within budget

What you’ll need:
- Proficient in Microsoft Office skills, advanced with PowerPoint and use of Teams
- Previous experience as an administrator within a fast-paced and dynamic team environment
- Proven background in providing exemplary customer service
- Self-managed with excellent organizational skills
- Problem-solving ability and exceptional attention to detail
- An individual who embraces change
- Ability to prioritize effectively and adjust to changing priorities
- Resourceful, decisive, autonomous, and accountable
- Strong relationship builder with high levels of emotional intelligence
- Excellent communication skills (verbal and written)
- Ability to plan and prioritize workload while considering the wider business impact
The successful candidate will require a Basic DBS check before starting in the job.
