Are you an organised and proactive Helpdesk Coordinator with experience in facilities management, building services or a busy administrative environment?

Our client is looking for a dependable Helpdesk Coordinator to join its Building Services team in Bristol. Working as part of a supportive team you will act as a central point of contact for facilities-related requests, coordinate maintenance activities and ensure jobs are completed within agreed service levels.

This is an excellent opportunity for someone who enjoys a varied, fast-paced position where organisation, communication and attention to detail are essential.

Key responsibilities

  • Log and manage planned and reactive maintenance jobs using the CAFM system
  • Monitor outstanding jobs and follow up with the relevant parties to ensure timely completion
  • Help maintain compliance with contractual service level agreements
  • Raise and track purchase orders associated with maintenance requests
  • Coordinate contractor attendance and site-access arrangements
  • Ensure contractors provide the required pre-start documentation before attending site
  • Maintain accurate records and filing systems for compliance and audit purposes
  • Communicate with contractors, internal teams and other stakeholders
  • Provide general administrative support to the wider Facilities team when required

About you

You will ideally have:

  • Previous experience within a helpdesk, facilities management, building services or administrative support position
  • Experience using a CAFM system or similar job-tracking software
  • Good working knowledge of Microsoft Excel, Word and Outlook
  • Strong organisational skills and excellent attention to detail
  • Clear and professional communication skills
  • A proactive and solution-focused approach
  • The ability to remain calm and organised in a busy environment
  • Confidence managing changing workloads and competing priorities
  • A helpful and customer-focused manner
