Location: Reading, Berkshire
Salary: Up to £31,000 basic
OTE / Earnings: Up to £35,000 including performance bonus
Job Type: Permanent, Full-time
Hours: Monday to Friday, 8:00am - 5:00pm, plus 1 in 4 Saturdays, 8:00am - 12:00pm

About the Role
ISQ Recruitment is recruiting for an experienced HGV Service Planner & Administrator to join a busy commercial vehicle service department in Reading.
This is a varied position combining workshop planning, customer service and automotive administration.
You'll be responsible for coordinating vehicle bookings, keeping customers informed, supporting workshop efficiency and ensuring service documentation and invoicing are completed accurately.
It could suit an experienced Service Administrator, Service Advisor, Workshop Planner, HGV Service Advisor or Automotive Administrator looking for a role with plenty of variety and responsibility.
Responsibilities
Working closely with the Service, Workshop and Parts teams, you will help ensure vehicles move efficiently through the workshop while providing customers with clear and timely updates.
You'll manage planned maintenance, servicing and MOT bookings alongside additional repair requirements, while supporting the day-to-day administration of a busy commercial vehicle operation.
Key Responsibilities
- Coordinate workshop bookings for servicing, inspections, maintenance, repairs and MOT appointments
- Proactively contact customers to help maximise available workshop capacity
- Accurately prepare job cards and repair orders from customer and internal instructions
- Keep customers updated on the progress of their vehicles throughout the repair process
- Communicate potential delays, additional repair requirements and authorisation requests
- Prepare and process invoices for completed work and MOT appointments
- Maintain accurate vehicle service histories and maintenance records
- Arrange parts and external subcontract work when required
- Scan and process completed workshop documentation for administration teams
- Provide customers with copies of service and maintenance paperwork
- Carry out follow-up calls and record customer feedback
- Identify appropriate opportunities for additional maintenance or repair work
- Support labour and parts sales while maintaining a customer-focused approach
- Maintain accurate filing, invoice and general departmental records
- Assist with health and safety administration and documentation
- Work closely with technicians, workshop colleagues, parts teams and management to resolve day-to-day issues

Requirements
Previous experience within the automotive, HGV, truck or LCV sector would be highly advantageous. Experience in a commercial vehicle workshop environment is particularly relevant.

- Strong administration and organisational skills
- Excellent attention to detail
- Confident telephone and customer service skills
- The ability to manage several jobs and priorities at once
- A proactive and organised approach to your workload
- Good written and verbal communication skills
- Confidence working with invoices, job cards, costs and service records
- The ability to work effectively in a fast-paced workshop environment
- Good problem-solving skills
- A practical understanding of vehicle servicing or workshop processes
- The ability to work independently while supporting the wider team
