About the Role
An exciting opportunity has arisen to provide comprehensive administration support for the Audiology Service.
This will include providing secretarial, admin support and reception duties across the Northern Care Alliance footprint. Registering and maintaining patients’ clinical records on the Audiology Patient Management System and other IT systems. You will fulfil a central, coordinating function on behalf of the Audiology Service.
You will be required to work to agreed policies, protocols, guidelines and standards. Performance will be monitored at agreed intervals. Work undertaken will include working across Northern Care Alliance.
Responsibilities
- To take telephone calls, booking appointments and answering telephone queries for patients of the hearing service as part of an established administration team.
- You must have a calm disposition and confident manner in order to communicate clearly with patients and clinical staff.
- You should have the ability to prioritise competing demands and be able to work flexibly.
- To respond pro-actively to patients’ telephone queries and emails regarding appointments in an extremely busy and demanding office environment.
- To undertake secretarial duties in the provision of clinical correspondence and reports. This includes typing, audio typing, preparation of reports using Microsoft Office package and other IT software systems.
- To take triaged referrals from choose and book and add to Audiology Patient Management System.
- To record outcomes on patient management systems e.g. attended, discharged, DNAs etc.
- To arrange suitable clinical appointments in accordance with patients’ choice and send out confirmation letters to patients.
- To ensure that all patients’ details are recorded and maintained accurately on the Audiology Patient Management System.
- Reception duties as required.
- To triage patient enquiries that are primarily routine, but occasionally complex and transfer them to a relevant professional.
- To provide cover for colleagues on annual leave or sick leave ensuring the provision of a flexible, effective and efficient service is maintained.
