Hire Administrator

What will you be doing?

As Hire Administrator, you will be responsible for the day-to-day administration of external plant and fleet hire activity, ensuring all hire transactions, supplier invoicing and system records are processed accurately and within agreed timescales. You will play a key role in maintaining accurate hire data, supporting supplier relationships and ensuring efficient financial control across the hire operation.

Working closely with the Hire Desk Manager, suppliers and internal stakeholders, you will support the delivery of an efficient and cost-effective hire service by ensuring systems are accurately maintained, invoices are reconciled and operational processes are completed in line with business requirements.

Key Responsibilities

  • Manage external plant and fleet hire allocations, ensuring all hires are accurately recorded and maintained within company systems.
  • Process external plant off-hires, ensuring all hire periods are correctly updated and closed.
  • Complete goods receipt processes and open purchase orders to enable supplier billing.
  • Confirm supplier deliveries and collections have been completed and update systems accordingly.
  • Produce and distribute supplier invoice copies upon request.
  • Carry out regular reconciliations between supplier reports and internal hire management systems for both fleet and plant assets.
  • Investigate and resolve supplier invoice queries, ensuring prompt resolution and accurate records.
  • Reconcile invoice data to ensure supplier charges align with actual hire activity.
  • Review live hire reports to identify discrepancies and maintain system accuracy.
  • Build and maintain positive working relationships with suppliers, customers and internal stakeholders.
  • Demonstrate proficiency in all aspects of hire administration, data management and system usage.
  • Support the wider Hire Desk team with administrative tasks and contribute to continuous process improvement initiatives.

What You'll Bring

  • Previous administration experience, ideally within a fleet, plant, logistics or hire environment.
  • Strong numerical and analytical skills with experience of reconciliations and invoice validation.
  • Excellent attention to detail and a commitment to maintaining accurate records.
  • Experience using business systems and Microsoft Office applications, particularly Excel, Outlook and Word.
  • Strong organisational skills with the ability to manage multiple tasks and deadlines effectively.
  • Excellent communication and interpersonal skills with the ability to build effective relationships with suppliers, customers and colleagues.
  • Ability to investigate and resolve queries in a timely and professional manner.
  • A proactive approach with a willingness to learn and continuously improve processes.
  • A positive team-focused attitude with the ability to work independently when required.
