Location: Leeds

Hours: Part-time, approximately 20 hours per week, over 5 days, Monday - Friday

Reporting To: Purchasing Manager

Salary: Circa £25,000 - £27,000 FTE (pro rata for part-time hours: £13,333 - £14,400)

Role Purpose

To provide effective coordination and administration of the hire, procurement, and control of externally sourced plant, tools, and equipment, supporting operational projects across the Asbestos Division and the wider Northern Region. The role will also provide support within the Stores function and assist other departments, including Waste Services, during busy periods.

Key Responsibilities

Hire Coordination & Procurement

  • Coordinate the hire and control of externally sourced plant, tools, and equipment.
  • Source suitable plant, equipment, and tools to meet operational project requirements.
  • Raise purchase orders and manage the end-to-end hire process using the company Plant Module within Dynamics.
  • Manage equipment on-hire and off-hire activities, including extensions, exchanges, repairs, and returns.
  • Expedite orders and proactively chase deliveries to ensure operational requirements are met.
  • Monitor and manage issues relating to lost, stolen, or damaged equipment.
  • Investigate and resolve supplier queries and disputes.
  • Review and manage live hire reports to ensure costs are effectively controlled.
  • Maintain strong working relationships with suppliers and identify opportunities to improve service and value.

Stores Support

  • Support the Stores Manager with day-to-day stores operations.
  • Control goods received into and dispatched from stores.
  • Receive, check, record, and issue stock items.
  • Issue and receive company plant, equipment, and materials to site personnel.
  • Assist with stock control and inventory management activities.
  • Maintain accurate records and ensure stores areas remain organised and compliant.

Administrative Support

  • Provide administrative assistance to the Waste Department during periods of increased workload.
  • Support the wider business with purchasing and stores administration activities as required.
  • Assist with maintaining accurate records and documentation across purchasing, hire, and stores functions.

General Responsibilities

  • Support operational teams across multiple divisions when required.
  • Build effective working relationships with internal stakeholders and external suppliers.
  • Ensure all activities are completed in accordance with company procedures and health and safety requirements.
  • Undertake any other duties reasonably required to support business operations.

Essential

Knowledge, Skills & Experience

  • Previous experience in an administrative, coordination, stores, purchasing, or hire desk environment.
  • Strong organisational skills with the ability to manage multiple priorities simultaneously.
  • Excellent communication and stakeholder management skills.
  • Ability to work effectively in a fast-paced operational environment.
  • Good problem-solving skills and attention to detail.
  • Competent user of Microsoft Office applications, including Outlook, Excel, Word, and Teams.
  • Experience using business systems or ERP software.
  • Good time management skills and the ability to work independently.

Desirable

  • Experience within construction, asbestos removal, remediation, engineering, hire, or industrial services sectors.
  • Experience managing plant and equipment hires.
  • Knowledge of procurement and supplier management processes.
  • Forklift Truck Licence.
  • Experience using Microsoft Dynamics or similar systems.
