Hire Desk Controller

Stuart House, Hargham Rd, Shropham, Attleborough NR17 1DT, UK

Role Overview

We are looking for a keen individual to join our busy Hire Desk team at our Head Office in Shropham, Norfolk. As a Hire Desk Controller, you play a pivotal role in the smooth operation of the Rental Department. You are responsible for managing customer interactions, coordinating rental and transport fleet logistics, and ensuring that all paperwork is processed efficiently. Your plant hire experience, coupled with your organisational skills, will help maintain the high standards of service our customers expect.

Key Responsibilities

Customer Order Management

  • Take customer orders accurately, ensuring that all details are captured correctly.
  • Prepare and send quotations in a timely manner.
  • Process and manage all related paperwork, ensuring that records are maintained accurately.

Fleet & Logistics Coordination

  • Assist in the day-to-day management of the rental fleet, ensuring that equipment is dispatched and returned according to schedule.
  • Coordinate with the transport fleet dispatch team as needed to ensure smooth delivery and collection of equipment.
  • Monitor fleet availability and work with logistics to optimise fleet utilisation.

Customer Service

  • Provide excellent customer service by listening to and accurately responding to customer inquiries.
  • Resolve any customer issues promptly and professionally, maintaining strong relationships with clients.

Administrative Support

  • Support the daily operations of the Rental Office by managing administrative tasks efficiently.
  • Ensure all documentation is completed to a high standard, paying close attention to detail.

Skills And Experience

  • Industry Experience: Previous experience in plant hire, with knowledge of fleet and logistics management, is essential.
  • Communication Skills: Excellent written and verbal communication skills are required to interact effectively with customers and team members.
  • Numeracy: A good standard of numeracy is necessary for preparing quotations and processing orders accurately.
  • IT Proficiency: Competent in using Microsoft Office packages, particularly Word and Excel, to perform daily tasks.
  • Attention to Detail: Strong attention to detail is essential for managing paperwork and ensuring accuracy in all documentation.
  • Time Management: Ability to work under pressure and meet deadlines in a fast-paced environment.
  • Interpersonal Skills: A confident and flexible attitude with the ability to work collaboratively within a Team.
