Hire Library Assistant

Location: Bury St Edmunds
Contract Type: Permanent, full time (35 hours pw)

Core Tasks and Responsibilities

The Hire Library Assistant supports the Hire Library Manager in the delivery of providing an efficient service in supplying printed music for hire to amateur and professional musicians worldwide. This involves:

  • Taking orders from and liaising with customers to provide performing materials
  • Handling general enquiries relating to hire works published by Wise Music
  • Setting up accounts and keying orders onto the hire library management system (HLMSW)
  • Invoicing for hire fees and any related fees on the HLMSW
  • Managing the late returns process, including issuing late returns letters and related invoices
  • Monitoring missing parts and lost materials and invoicing where necessary
  • Monitoring and invoicing for any broadcasts or streaming
  • Responsible for ensuring that hire materials are returned to the library after performances
  • Maintaining regular and efficient communication with all Wise Music Hire Libraries based in Germany, France and Denmark, as well as liaising with affiliates in the USA and Australia and other agents in other territories

Experience and Knowledge

  • A music qualification of GCSE or higher (preferred)
  • Sound knowledge of classical music and the classical repertoire (preferred)
  • Strong working knowledge of Microsoft 365, e.g. Outlook, Word, Teams, Excel (essential)

Skills and Abilities

  • The ability to read music (preferred)
  • Excellent verbal English communication skills, with the ability to interact with individuals at all levels
  • The ability to work as part of a small team and independently, showing continued self-motivation
  • Strong organisational capability with the ability to successfully manage competing priorities
  • The ability to work under pressure, whilst maintaining quality output

Personal Qualities

  • A team player who is willing to help with other tasks, as and when needed
  • Friendly, approachable with an enthusiastic and proactive attitude

Availability

  • Core working hours are 8.00am to 4.00pm Monday to Friday
  • A hybrid working policy is currently in place, typically with 3 days based in the hire library office and 2 days working from home
