Hospital Tender Management Intern

Role Purpose

The role includes management of hospital tenders, distributor coordination, off-contract claims processing, and documentation administration. This role provides an excellent opportunity to gain hands-on experience in pharmaceutical hospital operations, procurement processes, distributor management, and cross-functional collaboration with Finance, Commercial, and Supply Chain teams.

Key Responsibilities

Tender Management Support

  • Assist with the administration and maintenance of hospital tenders across procurement platforms
  • Support the preparation and submission of tender documentation
  • Update and organize tender records and contract documentation

Distributor Coordination

  • Support communication and coordination with hospital distributors, including:
    • Mawdsleys
    • AAH Pharmaceuticals
  • Assist in tracking orders, allocations, and distributor-related queries
  • Maintain accurate records of distributor communications and activities

Off-Contract Claims Administration

  • Assist in the collection, review, and validation of off-contract claim documentation
  • Maintain claim trackers and ensure supporting documentation is complete
  • Follow up with internal stakeholders and distributors regarding claim requirements
  • Support the resolution of routine claim-related queries

Documentation & Compliance

  • Maintain and organize tender, claims, and contract documents
  • Ensure records are accurate, complete, and stored in line with company procedures
  • Support document reviews and data checks to ensure accuracy and compliance
  • Assist with audit preparation and document retrieval when required

Finance Support

  • Prepare and compile documentation for finance processing

Reporting & Administrative Support

  • Update spreadsheets, trackers, and databases related to tenders and claims
  • Support ad hoc administrative tasks
  • Collaborate with Commercial, Finance, and Supply Chain teams on operational activities

Skills & Competencies

  • Strong attention to detail and accuracy
  • Good organizational and time-management skills
  • Effective verbal and written communication skills
  • Ability to work collaboratively with multiple stakeholders
  • Basic analytical and problem-solving skills
  • Proficiency in Microsoft Office Excel
  • Willingness to learn healthcare, procurement, and pharmaceutical business processes

Qualifications

  • Recently completed a degree in:
    • Business Administration
    • Healthcare Management
    • Supply Chain Management
    • Life Sciences
    • Or a related discipline

What You Will Gain
