Main Duties

What you'll be doing:

Key Responsibilities, Tasks and Activities

  • First point of contact for hospitality enquiries
  • Fulfilment of all incoming sales and hospitality enquiry calls
  • Supporting the Hospitality Team
  • Client liaison and account management
  • Processing of all hospitality client bookings including the processing of finances
  • Departmental administration and filing

Daily Duties

More about the role:

  • Preparing all function sheets for the week ahead and updating the CPU clipboards daily
  • Updating event consumptions within 24hrs
  • Update daily event calendar with enquiries as they come in.
  • Updating the events in the calendar as required.
  • Adding new enquiries to the hospitality pipeline tracker and updating as required
  • Adding confirmed events to planon
  • Ownership of hospitality emails and ensuring responses within 24hrs
  • Ownership of hospitality phone
  • Working with the Dispatch Supervisor and Hospitality Supervisors to ensure we meet all deliveries and customer requirements

Sales And Marketing

  • A focus on excellent customer service and communications
  • Prepare quotations for the Occasions and Only at Oxford brands
  • Assist in preparing creative pitches and designs
  • Ownership of the Only at Oxford Instagram and Twitter accounts

Finance

  • Ensure all events are captured on planon
  • Monitor and update all consumption
  • Complete all Nexus labour and hospitality stock bookwork
  • Uniform tracking, stock take and purchasing
