Description

The Hospitality Planning Coordinator plays a key role in supporting the planning and coordination of hospitality operations across Etihad Stadium.

Working closely with the Hospitality Planning Manager and operational teams, the role is responsible for coordinating event information, preparing operational documentation, communicating event requirements and ensuring hospitality teams have the information they need to deliver successful matchdays, conferences, banqueting events and special events.

The role acts as a central coordination point between Sales, Culinary, Operations, Finance and other internal stakeholders, ensuring operational plans remain accurate, up to date and effectively communicated.

This is an excellent opportunity for an organised and detail-focused coordinator who enjoys planning, administration and working within a fast-paced events environment.

Day To Day Responsibilities

Event Planning & Coordination

  • Coordinate hospitality event information across matchdays, conferences, banquets and special events.
  • Prepare and maintain operational function sheets, event orders and planning documentation.
  • Ensure event information is accurate, complete and distributed to operational teams within agreed timescales.
  • Monitor fixture changes and event amendments, communicating updates to relevant stakeholders.

Operational Administration

  • Maintain planning schedules and event calendars.
  • Coordinate room layouts, catering requirements and operational requests.
  • Track changes to event requirements and update planning documentation accordingly.
  • Ensure all event documentation is filed and maintained accurately.

Stakeholder Communication

  • Act as a point of contact for operational planning queries.
  • Liaise with Sales, Culinary, Hospitality Operations, Logistics and Finance to ensure event information is aligned.
  • Attend planning meetings and circulate actions where required.
  • Support communication between departments before and after events.

Event Delivery Support

  • Provide operational support during matchdays and major events where required.
  • Support hospitality managers in resolving planning-related queries.
  • Assist with event set-up checks and operational readiness.
  • Respond to last-minute changes to event requirements.

Reporting & Continuous Improvement

  • Produce planning reports and event documentation.
  • Support post-event reviews by capturing operational feedback.
  • Identify opportunities to improve planning processes and communication.
  • Maintain accurate event records.

Essential

Skills, Knowledge & Expertise

  • Previous experience within hospitality, events or venue operations.
  • Strong planning and organisational skills.
  • Excellent administrative skills with high attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong communication and relationship-building skills.
  • Confident using Microsoft Office, particularly Excel, Outlook and Word.
  • Ability to work flexibly around matchdays and events.

Desirable

  • Experience working within a stadium, arena, hotel or conference venue.
  • Experience using event planning or booking systems.
  • Experience working with hospitality or conference events.
  • Knowledge of event planning processes.
