Aviation Recruitment experts Optime are delighted to be recruiting. We are looking for a highly organised, professional, and detail-oriented HR & Administration Coordinator to join our team based at Heathrow Business Centre.

This is a fantastic opportunity to join a customer-focused team in a fast-paced and rewarding airport environment, offering flexible shift options and the opportunity for long-term employment.

What’s on offer:

  • Rate of Pay: £17.50
  • Shift Pattern: Monday- Friday 9:00 - 5:00 PM
  • After a successful short probationary period, the possibility of working remotely on Fridays
  • Weekly Pay (every Friday)
  • Full training provided
  • Free car park available
  • Immediate start

Key Duties:

  • Maintaining and updating employee records, documentation, and HR systems
  • Providing day-to-day HR and general administrative support to the team
  • Supporting the preparation and processing of HR documentation
  • Assisting with airport vetting and security clearance processes, including checking and maintaining relevant documentation
  • Ensuring documents are completed accurately and in line with required processes
  • Supporting on-boarding and other employee administration processes
  • Organising meetings, preparing meeting rooms, and ensuring all required materials and equipment are available
  • Coordinating meeting schedules and supporting the team with administrative arrangements
  • Preparing documents, reports, spreadsheets, and other administrative materials
  • Maintaining accurate records and filing systems, both electronically and physically
  • Handling confidential and sensitive information appropriately
  • Supporting colleagues with general administrative and HR-related queries
  • Following established administrative, HR, and compliance procedures
  • Ensuring a high standard of accuracy, organisation, and attention to detail in all work

What we are looking for:

  • Previous experience in HR administration, office administration, or a similar administrative role
  • Previous experience with airport vetting / security clearance processes would be highly advantageous
  • Excellent attention to detail and a methodical approach to documentation
  • Strong computer skills and confidence using different systems and software
  • Good knowledge of Microsoft Office, particularly Word, Excel, and Outlook
  • Excellent organisational and time-management skills
  • The ability to manage several tasks and priorities at the same time
  • A professional and positive approach to work
  • Strong written and verbal English communication skills
  • A good eye for detail and presentation, with pride in producing accurate and well-presented work
  • The ability to work independently while also being a supportive member of the team
  • A high level of discretion when handling confidential HR and employee information

Please note: As this is an airport role, successful candidates must pass security checks in-line with CAA regulations. These checks include 5-year work and address history, DBS (must have no disqualifying criminal convictions), valid Right to Work.
