Overview

Are you a customer-focused person who enjoys administration and variety in your job? Seeking a HR Administrator to join our busy team in Trowbridge.

You will have some experience in administration, ideally working for multiple managers or a large team and will be able to demonstrate the ability of working in a fast paced, commercial environment whilst juggling multiple requests for your time.

You will need to develop and maintain good working relationships with colleagues in the HR team and line managers from across the business.

This is a role with lots of variety, as no two days are the same, and offers a great opportunity to be part of a friendly and supportive team in a thriving business.

Due to the customer-facing nature of this role, you will be based in our Trowbridge head office full time.

apetito is the UK’s leading food supplier to the health and social care sectors serving more than 1,300 care homes, health care and education settings.

Our meals are expertly crafted by our dieticians and chefs, and then frozen to lock in the goodness.

Wiltshire Farm Foods, our sister company, is the UK’s largest ready meal supplier cooking and delivering over 330 different delicious frozen ready meals across the UK.

Responsibilities

Be the first point of contact for HR enquiries, providing excellent customer service and sign-posting on HR policies, procedures, benefits, and employee rewards.

  • Employee lifecycle administration tasks such as:
    • Drafting contracts and letters
    • Processing employee changes
    • Updating employee records
    • Issuing and managing employee ID access cards
  • HR administrative support for employee relations, including:
    • Policy and form updates
    • Coordinating meetings
    • Minute taking
  • Office administration including planning team meetings/ events and managing office resources.
  • Support recruitment onboarding processes, ensuring new starters are set up on payroll and systems accurately.
  • Monitor and support the businesses compliance with employment checks including:
    • Right to work checks
    • Criminal records checks
    • Driving licence checks
    • Other regulatory requirements
  • Coordinate occupational health activities, including fitness for work assessments, night worker health checks, and related administration.
  • Support Learning and Development activities, including induction scheduling, onboarding administration, and delivery of new starter inductions.
  • Maintain accurate employee records and HR system data, ensuring compliance with data protection requirements.
  • Produce regular and ad hoc HR reports, dashboards, and compliance information, working closely with Payroll to maintain accurate employee data.
  • Support company-wide people initiatives and projects, including pay reviews, bonus schemes, employee recognition activities, and distribution of seasonal employee gifts.
  • Cover main reception (on a rota basis)

About you

Essential:

  • Experience in a busy administrative role
  • Strong Microsoft 365 skills, including Word, Excel, PowerPoint, and Outlook
  • GCSEs (or equivalent) in Maths and English, Grade 4/C or above
  • Excellent written and verbal communication skills, able to write formal emails and letters
  • Proven ability to organise a complex workload- prioritise, multitask, and meet deadlines
  • Methodical and detail conscious to ensure accuracy of all work
  • Self-motivated, able to use initiative and make informed decisions
  • Resilient, patience and persistent
  • Ethos of continuous improvement with the business needs at heart
  • Friendly, positive and professional with a genuine desire to help others
  • Handle confidential / sensitive information safely and professionally

Desirable:

  • Experience of using an HR / payroll system
  • Experience of supporting more than one team or manager
  • Experience of working in a HR team
  • Advanced Excel, Word and PowerPoint including pivot tables and formulas
  • CIPD qualification – First level
