HR Administrator (Temporary)

Location: Central London (Hybrid: 2 days office / 3 days remote)

Contract: Temporary, 3 months or until the substantive postholder is appointed

Start Date: 21 October 2026

Hours: 35 hours per week

Rate: c. £17.00 per hour

DBS Check: Required prior to commencement


We are seeking a proactive and highly organised HR Administrator to provide comprehensive administrative support across recruitment, onboarding, HR systems, and general HR operations for a highly respected Royal College based in central London. This role requires an individual who can work independently with minimal supervision, manage competing priorities, and maintain a high level of accuracy and professionalism.

The successful candidate will support all stages of recruitment and onboarding, maintain HR records and systems, respond to stakeholder queries, support payroll and reporting processes, and contribute to wider HR projects and process improvements.

Key Responsibilities

Recruitment and Onboarding Administration

  • Provide administrative support throughout the end-to-end recruitment and onboarding process.
  • Draft and publish recruitment adverts across appropriate channels.
  • Coordinate interview scheduling and candidate communications.
  • Support recruitment activities, including shortlisting administration and interview arrangements.
  • Draft and issue offer letters, contracts, agreements, and onboarding documentation.
  • Complete and monitor pre-employment compliance checks, including DBS checks where required.
  • Liaise with relevant departments to coordinate onboarding arrangements for new starters.
  • Maintain accurate electronic and paper personnel records.
  • Ensure recruitment schedules are kept up to date and accurately maintained.

HR Administration

  • Provide high-quality general HR administrative support across the employee lifecycle.
  • Assist with the administration of consultancies, secondments, service level agreements, and related arrangements.
  • Respond to queries received through HR and recruitment inboxes, escalating where appropriate.
  • Provide cover and administrative support for other HR team members as required.
  • Support HR projects and process improvement initiatives.

HR Systems and Record Management

  • Maintain accurate employee records using HR and recruitment systems.
  • Input and update employee data, including absence, leave, contractual changes, and other HR records.
  • Manage and maintain long-term absence records and tracking spreadsheets.
  • Ensure all HR records are accurate, complete, and maintained in accordance with data protection requirements.
  • Assist with payroll administration by preparing and submitting relevant starter, leaver, and contractual change information.
  • Support the processing and logging of invoices relating to recruitment and HR activities.

Reporting and Compliance

  • Support the production of recruitment metrics and management information reports.
  • Assist with audits and compliance checks to ensure HR and recruitment processes meet legal and organisational requirements.
  • Escalate issues, risks, or inconsistencies in a timely manner.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Ensure all activities are carried out in accordance with GDPR and relevant employment legislation.

Stakeholder Support

  • Act as a first point of contact for HR and recruitment-related enquiries.
  • Provide clear, accurate, and professional advice and guidance within the scope of the role.
  • Build effective working relationships with employees, candidates, managers, and external stakeholders.
  • Ensure all interactions are professional, inclusive, respectful, and customer-focused.

Person Specification

  • Previous administrative experience within an HR, recruitment, or office environment.
  • Clear and concise written communication skills.
  • Strong organisational skills with excellent attention to detail.
  • Experience of maintaining accurate records and handling confidential information.
  • Ability to manage competing priorities and work to deadlines.
  • Good communication and interpersonal skills.
  • Ability to work effectively as part of a team.
  • Proactive, self-motivated, and able to work with minimal supervision.
  • Good working knowledge of Microsoft Office applications, including Word, Excel, Outlook, and Teams.
  • Strong data entry and keyboard skills.
  • Professional and approachable manner.
  • Willingness to undertake a DBS check prior to starting employment.

Desirable

  • CIPD qualification or working towards CIPD accreditation.
  • Experience of using HR Information Systems (HRIS) or Applicant Tracking Systems (ATS).
  • Previous experience supporting recruitment and onboarding processes.

They will be confident working independently, capable of managing a varied workload, and committed to delivering a professional, efficient, and accurate service across all aspects of HR administration and recruitment.
