Make a Difference

This role is responsible for providing efficient, accurate and compliant administrative support across the employee lifecycle. The purpose of the role is to ensure all HR processes, records and documentation are maintained to the highest standard, supporting a regulated business environment where confidentiality, data integrity and regulatory compliance are critical.

The post holder will act as a key point of contact for employees and managers via the Employee Services Inbox.

Your Impact

  • Act as the first point of contact for the HR shared service mailbox, ensuring employee and manager queries are handled promptly, professionally and in line with agreed service levels.
  • Provide accurate first-line support and guidance on general HR matters, including HR processes, payroll, benefits, expenses and people policies.
  • Administer HR cases accurately, ensuring activity is completed in line with payroll deadlines, internal procedures and relevant controls.
  • Prepare and process employment offer documentation, ensuring all information is accurate, complete and issued within required timescales.
  • Maintain accurate employee records in WesPeople, upholding data integrity, confidentiality and compliance with applicable requirements.
  • Coordinate onboarding and offboarding administration, including liaison with third parties to support background checks and verification of employment eligibility.
  • Raise purchase orders and process invoices accurately and within required timescales.
  • Administer Occupational Health requests, ensuring appropriate follow-up, tracking and record management.
  • Manage reference requests in accordance with internal procedures, confidentiality requirements and relevant data protection standards.
  • Respond to WesPeople system queries, providing user guidance and supporting issue resolution where appropriate.
  • Support the annual certification process through accurate administration, monitoring, tracking and follow-up.
  • Assist with system testing, system updates and process improvement activity to support effective HR service delivery.
  • Support the maintenance of HR processes, policies, standard operating procedures, training materials and user guides within WesPeople.
  • Contribute to continuous improvement initiatives that enhance employee experience, service quality and operational efficiency.

What You’ll Bring

Essentials

  • Previous experience in an HR administration, HR shared service or HR support role.
  • Strong administrative and organisational skills, with the ability to maintain high standards of accuracy and attention to detail.
  • Experience of using HR systems and Microsoft Office applications to support accurate administration and reporting.
  • Ability to prioritise workload, manage competing tasks and meet deadlines in a busy service environment.
  • Strong written and verbal communication skills, with the ability to respond professionally to employees, managers and internal and external stakeholders.
  • Working knowledge of employment legislation, HR processes and HR best practice relevant to an administrative support role.
  • A proactive approach to continuous improvement, with an interest in supporting projects and service enhancement activity.
