Purpose of the Position
As HR Administrator support the core business function to ensure that Company and Corporate objectives are met by providing efficient clerical and administrative support to the HR department based in Aberdeen.
How Can You Support Us?
- Provide full clerical support to the HR department, administer HR related documentation including but not limited to the issue of Schedule of Assignments, Contracts of Employment, amendments and promotion letters, starters and leavers paperwork ensuring accuracy and compliance with company procedures.
- Act as the primary point of contact for Hub recruitment activities maintaining records of CVs, certifications, and supporting documentation.
- Liaise with recruitment agencies to obtain, monitor, and renew certification records, as well as project-specific medical and training documentation, ensuring personnel remain compliant with operational requirements.
- Maintain agency and staff personnel files, ensuring records are accurate, up to date, and managed in accordance with data protection requirements and company policies.
- Provide administrative support for shared mailboxes relating to recruitment, medicals, training, and general HR, ensuring timely responses and effective communication.
- Support bookings for corporate and project specific medicals for offshore and onshore personnel as per company standards, liaising with the approved occupational health provider.
- Maintain accurate digital records of medical certificates whilst ensuring confidentiality and data protection. Register and track expiration dates within a dedicated tracker and issue reminders to personnel in a timely manner.
- Verify and cross-check HR invoices ensuring all costs are approved in the applicable ‘price schedule’. Liaise with the SAP Administration team to authorise payment or escalate any queries.
- Support the coordination of mandatory offshore survival training for personnel in compliance with the company procedures and any specific project or country requirements.
- Maintain the Saipem Aberdeen headcounts for both staff and contractor in respect of starters, leavers and amendments, assisting with the HR reports required by Corporate and the Kingston office. Inform GHRS team in Kingston of all starters, leavers and amendments.
- Process all expenses for onshore and offshore staff and contractors, ensuring minimum turnaround period.
- Carry out any other ad-hoc duties as required by the HR Supervisor.

- Previous HR or general administration in a busy working environment is desirable but not essential
