HR Administrator (Andwis Group - Environment and Safety Division)
Home Based - Remote Working
The HR Administrator will deliver all HR transactional and administrative work for the Environment & Safety division, ensuring accuracy, timeliness, and consistency. You will be the operational backbone of the Shared Services team, managing everything from employee data and systems to employee records, onboarding/offboarding, benefits, and absence administration. This is a customer-facing role where you'll need strong organisational skills, attention to detail, and the ability to work efficiently under pressure. You'll support the HR Advisors and Business Partners, handling processing so they can focus on advice and strategy.
Key responsibilities and accountabilities:
Onboarding & Offboarding:
- Manage the end-to-end onboarding process: preparing documentation (offer letters, contracts, employee handbooks), coordinating with systems, managing first-day logistics.
- Maintain accurate records on the HRIS; ensure employees are set up with systems access and information.
- Manage offboarding: exit interviews, reference requests, final pay processing, benefits cessation, equipment return, exit documentation.
- Track probation periods and trigger probation reviews.
Absence & Leave Management:
- Record and administer all employee absences (sickness, holiday, unpaid leave, compassionate leave).
- Maintain accurate absence records on the HRIS and produce reports for managers and Advisors.
- Flag patterns for Advisors (e.g. frequent short-term absences, return-to-work conversations due).
Benefits Administration:
- Administer employee benefits: processing enrolment, changes, and cessation.
- Maintain records and correspondence with benefit providers.
- Handle employee queries on benefits and signpost complex matters to Advisors.
- Produce reports on benefit uptake and queries.
HR Systems & Data:
- Maintain accurate employee records on the HRIS: personal details, roles, contracts, employment history.
- Generate reports from the HRIS on request: headcount, absence trends, benefits, etc.
- Ensure data quality and compliance; spot-check records for accuracy.
- Support data exports and analysis for managers and Advisors.

HR Documentation & Correspondence:
- Prepare standard HR documentation: contracts, offer letters, reference requests, employee handbooks, policy documents.
- Draft template letters and correspondence; maintain a document library.
- Coordinate document version control and ensure accuracy.
Manager & Employee Support:
- Be a customer-facing point of contact for managers and employees on transactional HR queries.
- Handle calls, emails, face-to-face enquiries, signposting to Advisors or Business Partners where needed.
- Provide information on policies, benefits, leave entitlements, and processes.
- Escalate queries that need advisory input appropriately.
Collaboration & Improvement:
- Work collaboratively with HR Advisors on cases; request background context on complex matters so you can update systems accurately.
- Contribute to continuous improvement of processes; flag bottlenecks or recurring issues.
- Support the Shared Services Manager with process documentation and training materials.
Person specification:
Experience & Qualifications:
- Prior HR administration experience is desirable but not essential; strong general admin experience in a busy environment is valuable.
- Experience with HRIS systems or HR software is desirable; willingness to learn is essential.
- Strong data management and systems skills; comfortable with spreadsheets and databases.
- Experience managing high volumes of work and multiple priorities.
Capability & Mindset:
- Meticulous attention to detail; HR administration requires accuracy.
- Highly organised and able to manage competing deadlines.
- Process-focused; able to follow procedures, but also able to identify improvements.
- Comfortable with systems and technology; able to learn new platforms quickly.
- Able to work independently but also ask for help when needed.

Interpersonal & Personal Qualities:
- Strong customer service mindset; managers and employees should feel supported by you.
- Professional and discrete; HR data is confidential and sensitive.
- Friendly and approachable; able to handle employee queries with empathy and clarity.
- Patient; able to explain processes to people who may not be familiar with HR.
- Reliable and consistent; people depend on you to get things right.
- Team player; collaborative and willing to pitch in across shared services.
Nice to have:
- Experience in a shared services or high-volume admin environment.
- Payroll administration experience.
- Knowledge of UK employment law or compliance frameworks.
Development & Career Path:
This is an excellent entry point into HR. Strong administrators with HR interest and aptitude can develop into HR Advisor roles with appropriate training, experience, and (ideally) CIPD qualification. The Shared Services Manager will support your development and provide opportunities to gain broader HR knowledge.
