Purpose of the Role
The HR Administrator provides day-to-day administrative support across the employee lifecycle, ensuring accurate records, smooth onboarding and offboarding, and reliable delivery of core HR processes. This fixed-term role supports the People team through a period of increased volume, helping maintain a high standard of employee experience while TrustFlight continues to scale.
Scope & Decision-Making Authority
- Manages own workload and prioritisation of routine HR administration tasks within agreed service levels.
- Escalates policy interpretation, employee relations issues, and any contractual changes to the Senior HR Business Partner.
- Coordinates directly with hiring managers and payroll on onboarding timelines, without independent authority to alter pay or terms.
- UK-based employees, primarily supporting the Doncaster site.
Key Relationships
Internal
- Senior HR Business Partner and wider People team — daily collaboration on process delivery and priorities
- Payroll — regular liaison on new starters, leavers, and contract changes
- Line managers across the business — support with onboarding, probation, and documentation
External
- Job candidates and new starters — communication on offers, contracts, and onboarding
- Background check and referencing providers — coordinating pre-employment checks
- HR software and benefits providers — day-to-day administrative queries

Key Responsibilities
- Maintain accurate and up-to-date employee records across the HR information system.
- Coordinate the onboarding process for new starters, including contract preparation, right-to-work checks, and induction scheduling.
- Process employee lifecycle documentation, including changes to terms, promotions, and leaver paperwork.
- Support recruitment administration, including scheduling interviews and issuing offer letters.
- Ensure HR processes comply with employment law and internal policy, escalating queries as needed.
- Provide general administrative support to the Senior HR Business Partner, including reporting, filing, and responding to routine employee queries.
Required Qualifications & Experience
- Previous experience in an HR administration or similar office-based support role.
- Strong working knowledge of Microsoft Office, particularly Excel and Outlook.
- Excellent attention to detail and ability to manage confidential information appropriately.
- Good written and verbal communication skills, with a professional and approachable manner.
Desirable Skills & Experience
- Experience using an HR information system (HRIS) or applicant tracking system.
- Familiarity with UK employment law fundamentals.
