The Role

The HR Administrator & Recruitment Coordinator provides administrative and coordination support across the HR and recruitment functions, helping to ensure efficient, accurate and professional HR processes and a positive experience for employees, candidates, hiring managers and recruitment agencies.

As part of the HR team, the role will provide support across the employee lifecycle, including recruitment, onboarding, HR administration, employee records, HR systems, reporting, employee processes and HR projects.

The role will also support recruitment activity from vacancy approval and advertising through to interview coordination, offer administration and onboarding handover.

This is an ideal opportunity for someone looking to develop a career within HR and gain broad exposure to HR administration, recruitment, employee relations processes, HR projects and the wider employee lifecycle.

The role will suit someone who is organised, adaptable and proactive, with the ability to manage competing priorities and support the HR team across a variety of activities.

HR Administration

  • Provide day-to-day administrative support across the HR function.
  • Maintain accurate and up-to-date employee records and HR systems.
  • Prepare and issue HR documentation, including letters, contracts, amendments and other employee correspondence.
  • Support the administration of joiners, leavers, internal moves and other employee lifecycle processes.
  • Maintain HR trackers and ensure key employee information is kept accurate and up to date.
  • Support the administration of employee processes including probation, absence, performance management, flexible working and other HR processes.
  • Monitor the HR inbox and respond to routine employee and manager queries, escalating matters where appropriate.
  • Support the HR team with general administration and ad hoc projects as required.
  • Ensure HR documentation is stored appropriately and in line with internal processes and data protection requirements.
  • Maintain a high level of confidentiality when handling employee information.

Recruitment Coordination

  • Provide administrative and coordination support across the recruitment process.
  • Support the HR team with vacancy administration, including preparing job adverts and posting vacancies across appropriate recruitment channels.
  • Coordinate interviews between candidates, hiring managers and interview panels, including arranging diaries, meeting rooms and virtual interview links.
  • Prepare and distribute interview schedules and relevant documentation.
  • Maintain accurate candidate and vacancy information within the Applicant Tracking System (ATS).
  • Liaise with third-party recruitment agencies and support the coordination of candidate activity.
  • Support candidate communications throughout the recruitment process.
  • Assist with recruitment events, assessment centres and careers fairs where required.
  • Support the HR team with recruitment reporting and maintaining accurate recruitment trackers.

Candidate & Employee Experience

  • Act as a professional and helpful point of contact for candidates and employees.
  • Ensure candidates receive timely and accurate information regarding interviews, assessments, offers and next steps.
  • Support a smooth and engaging onboarding experience for new starters.
  • Coordinate pre-employment documentation and ensure all required information is received before an employee's start date.
  • Help ensure communications are professional, consistent and aligned with the organisation's employer brand.
  • Respond promptly and professionally to changes or queries throughout the recruitment and onboarding process.

Onboarding & Pre-Employment Administration

  • Support the preparation and administration of offer documentation and employment contracts.
  • Coordinate references, right to work checks and other pre-employment requirements.
  • Track outstanding documentation and follow up with candidates as appropriate.
  • Support the HR team with new starter administration and onboarding arrangements.
  • Ensure all required employee documentation is completed and appropriately recorded.
  • Liaise with relevant internal teams to ensure new starters have everything required ahead of their first day.

HR Projects & Process Improvement

  • Support the HR team with a range of HR projects, initiatives and business priorities.
  • Take responsibility for assigned project tasks and ensure actions are completed accurately and within agreed deadlines.
  • Assist with the implementation of new HR processes, systems, policies and ways of working.
  • Support project administration, including preparing documents, maintaining trackers, gathering information and coordinating actions.
  • Assist with HR communications and employee engagement initiatives.
  • Support the HR team with the organisation and administration of training sessions, HR meetings and employee events.
  • Help identify opportunities to improve HR processes and make administration more efficient.
  • Be willing to take on new projects and responsibilities as the needs of the business develop.
  • Work collaboratively with HR colleagues and wider stakeholders to support successful delivery of HR initiatives.

HR Systems, Reporting & Data

  • Maintain accurate and up-to-date information within HR and recruitment systems.
  • Assist with maintaining HR and recruitment trackers and databases.
  • Support the preparation of regular HR and recruitment reports and basic metrics.
  • Carry out data quality checks and ensure information is recorded accurately

Requirements

  • Strong organisational and administrative skills with excellent attention to detail.
  • Ability to manage multiple tasks, deadlines and changing priorities effectively.
  • Confident and professional written and verbal communication skills.
  • Good working knowledge of Microsoft Office, including Outlook, Word and Excel.
  • Comfortable working with HR systems, recruitment systems and new technology.
  • A professional, approachable and customer-focused manner.
  • Ability to handle confidential and sensitive information appropriately.
  • Strong attention to detail and a commitment to producing accurate work.
  • Ability to work independently while also contributing effectively as part of a team.
