The Vacancy

The HR team is responsible for delivering a comprehensive range of HR services to the Firm's approximately 1,200 UK-based employees. This includes recruitment and resourcing, compensation and benefits, performance management, employee relations, wellbeing initiatives, employment law advice, compliance with regulatory and statutory obligations, diversity and inclusion, and the maintenance of electronic personnel records.

The successful candidate will join the HR Operations team, which is responsible for delivering core HR processes and generalist HR support across the business. The role will report to the HR Advisors and HR Assistant and will play a key role in ensuring the efficient delivery of HR services.

Responsibilities

HR Administration

  • Provide administrative support to the HR Operations and Reward teams across a broad range of generalist HR processes and procedures, helping to ensure the delivery of a high-quality HR service.
  • Act as the first point of contact for general HR enquiries, including annual leave, absence management and HRIS-related queries. Manage the central HR inbox, responding appropriately or escalating queries to relevant colleagues within agreed service levels.
  • Coordinate day-to-day HR administration and processes, including new joiners, probation reviews, secondments, fixed-term contracts, promotions, internal transfers, flexible working requests, family leave, exit interviews, leavers and security clearance processes.
  • Maintain and update the HR Information System (Cascade), ensuring employee records remain accurate through regular data audits, and manage the electronic HR filing system.
  • Respond to employment reference requests, including pre-employment, mortgage, immigration and other verification requests.
  • Prepare HR correspondence, meeting notes and attendance records as required.
  • Produce and distribute regular and ad hoc HR reports, including fixed-term contracts, family leave, joiners, leavers, sickness absence, annual leave and immigration reporting.
  • Organise and facilitate bi-weekly induction sessions for new employees.
  • Maintain HR content on the Firm's intranet, publish updates to the online noticeboard and liaise with the Marketing team where appropriate.
  • Ownership of Visa and Right to Work processes for your business units.

Payroll, Reward and Benefits

  • Ensure payroll instructions are submitted accurately and within agreed payroll deadlines and service level agreements.
  • Support payroll and benefits administration, including invoice processing, ordering vouchers and employee gifts.
  • Respond to routine payroll-related queries regarding payments, deductions and payroll processes.

Projects

  • Support the annual salary and promotion review process, assisting with all administrative requirements, including meeting coordination, spreadsheets, moderation meetings and preparation of information packs for partners and managers.
  • Assist with a range of cyclical HR initiatives and projects, including practising certificate renewals, diversity and inclusion initiatives, wellbeing programmes and policy reviews.
  • Support the preparation and coordination of annual compliance audits, including immigration and information security audits.

Experience and Knowledge

  • Strong academic background with excellent literacy and numeracy skills.
  • Exceptional attention to detail and the ability to accurately process large volumes of employee data.
  • Excellent organisational and time management skills, with the ability to effectively prioritise workloads and manage competing deadlines.
  • Strong written and verbal communication skills.
  • A high level of computer literacy, including proficiency in Microsoft Office applications, particularly Word, Excel and Outlook. Ability to prepare professional communications, maintain records, validate data and manage correspondence efficiently.
  • Ability to build effective working relationships and collaborate with colleagues to achieve objectives within agreed timescales and service levels.
  • Previous experience in an HR administration or HR support role is desirable but not essential.
