Description
The HR Adviser will own and deliver Lumensol’s day-to-day operational HR service across the employee lifecycle, providing accurate, timely, and practical support to employees and managers.
The role combines HR administration with professional advice and judgement across recruitment, onboarding, contracts, employee changes, absence and leave, employee relations, benefits, associate compliance, HR systems, governance, and reporting. The postholder will work independently within approved policies and processes, escalating sensitive or higher-risk matters appropriately.
- Own the completeness, accuracy, timeliness, and confidentiality of operational HR administration, records, and reporting.
- Provide advice and recommendations within approved policies and delegated authority; authorized managers retain formal employment decisions.
- Ensure significant contractual changes, IR35 determinations, policy approvals, and matters carrying material legal, employee-relations, or financial risk receive the required management or specialist approvals.
- Work collaboratively with managers, employees, associates, Payroll, Finance, IT, and external providers, maintaining clear ownership and escalation routes.
Key Responsibilities
- Deliver a responsive operational HR service, managing the HR and Careers mailboxes, resolving routine enquiries, and escalating sensitive, complex, or higher-risk matters appropriately.
- Coordinate end-to-end recruitment administration, including approved job descriptions and salary bands, vacancy and recruitment trackers, advertising, applications, interviews, candidate communications, offers, contracts, and references.
- Complete and record pre-employment compliance checks, including right to work, time-limited permissions, DBS checks where applicable, and required identity and address evidence.
- Manage onboarding from confirmed commencement date through induction and probation, coordinating employee files, Cintra records, systems access, payroll and benefits notifications, communication channels, mandatory documents, and learning.
- Administer contractual and employee lifecycle changes, including salary and personal-detail updates, changes to terms, probation outcomes, performance reviews, and objective setting, ensuring approvals and effective dates are accurately recorded.
- Administer sickness absence, annual leave and holiday pay, family-related and dependant leave, flexible-working requests, occupational-health referrals, wellbeing support, and reasonable adjustments, issuing correspondence and tracking agreed actions.
- Provide practical HR guidance and secure case administration for disciplinary, grievance, capability, appeal, bullying, harassment, and whistleblowing matters, supporting managers to follow approved policy and fair process.
- Prepare and validate monthly HR inputs to Payroll, covering starters, leavers, contractual changes, statutory payments, benefits, pensions, deductions, and referral payments, and resolve associated queries.
- Administer employee benefits and workplace pensions, including enrolment communications, opt-in and opt-out records, family changes, and leaver notifications.
- Manage associate HR administration and compliance, including agreements, signature records, IR35 review coordination, insurance validation, expiry monitoring, and escalation of gaps or decisions requiring approval.
- Maintain accurate and reconciled HR systems and records, including Cintra, employee, associate, recruitment, talent, training, and compliance trackers, personnel files, contact records, and approved HR templates.
- Coordinate HR-related system administration and data flows across Cintra, Microsoft 365, WFM, Xero, iHasco, and other approved platforms, working with system owners on access, readiness, and removal.
- Set up, monitor, and report on mandatory learning and compliance activity, chasing completion and maintaining reliable evidence.
- Maintain HR policy, forms, and template governance, including registers, review dates, version control, approvals, publication, and auditable document history.
- Apply HR data-retention, secure-access, archiving, and deletion requirements and support authorized employee data-access or correction requests.
- Prepare accurate monthly HR management and Board reporting on workforce movements, absence, probation, recruitment, learning, compliance, casework, and emerging risks.
- Manage the HR elements of offboarding, including resignation acknowledgement, final dates, formal correspondence, Payroll and system notifications, access removal, record archiving, and tracker updates.
- Review HR processes, controls, templates, and systems regularly, identifying improvements and maintaining clear guidance that supports consistent service delivery and administrative cover.

- CIPD Level 5 qualification, or actively working towards it.
- At least three years’ relevant operational HR experience across recruitment, employee lifecycle administration, absence, and employee relations.
- Practical knowledge of UK employment law, HR good practice, and data-protection requirements, with the ability to apply policy consistently and identify risk.
- Experience supporting managers with sensitive matters and preparing accurate contracts, letters, case records, and management information.
- Strong HR systems and data-management capability; experience of HRIS, recruitment, learning, payroll-interface, and document-management systems is desirable.
- Strong numerical and analytical skills, with the ability to reconcile records, monitor compliance, identify trends, and produce clear Board-level reporting.
- Excellent organisation, accuracy, and follow-through, with the ability to manage recurring deadlines and competing priorities in a remote environment.
- Clear, confident, and tactful written and verbal communication, with sound judgement, discretion, and a strong commitment to confidentiality.
- Able to operate independently within agreed authority, challenge constructively, and recognise when senior, legal, or specialist advice is required.
