The Role in a Snapshot

Hayes is a busy factory site, and it's going through a period of positive change. We're looking for someone who takes genuine pride in running things well: keeping the site operating smoothly day to day, keeping our HR processes accurate and on track, and making sure everyone who walks through the door, team member or visitor, feels like they've arrived somewhere that has its act together.

This role brings together office and facilities management with HR administration across the employee lifecycle. You don't need a background in both; you do need to be organised, discreet, proactive, and genuinely good with people.

What You'll Be Responsible For...

Running the Site

  • Own the day-to-day running of the Hayes office and facilities: shared spaces, meeting rooms, equipment, supplies, and maintenance
  • Manage office budgets: ordering what's needed, tracking spend, and making smart calls on what isn't worth the cost
  • Be the first port of call for any facilities issue: fix what you can, escalate what you can't, and make sure nothing falls through the cracks
  • Maintain accurate site records: contracts, maintenance logs, and compliance documentation
  • Meet and greet all visitors with warmth and professionalism
  • Manage the visitor sign-in process and ensure health and safety requirements are communicated clearly on arrival
  • Prepare meeting rooms and shared spaces ahead of visits; the details matter

Employee Lifecycle Administration

  • Manage onboarding: drafting offer letters and contracts, collecting right-to-work documentation, and coordinating induction and desk/site set-up for new starters
  • Process employee changes such as promotions, transfers, hours changes, and leavers
  • Prepare HR correspondence and ensure timely, accurate records
  • Maintain digital personnel files in line with GDPR and internal policy

HR Systems, Data & Benefits

  • Maintain and update HR systems, ensuring data accuracy and integrity
  • Produce regular HR reports (e.g., headcount, absence, turnover)
  • Administer employee benefits platforms: updating new starters and leavers, obtaining quotes, and supporting employees with benefit documentation
  • Administer access to Health and Volunteer day

What We're Looking For...

It would be great if you also have...

  • Experience using an HRIS
  • A basic understanding of employment law
  • Experience supporting payroll or recruitment
  • A background in a fast-moving operational environment such as FMCG, manufacturing, logistics, or similar
  • Experience managing a site through a period of change or renovation
