MAIN PURPOSE OF THE JOB: (JOB SUMMARY)

The HR Assistant is responsible for providing efficient and accurate administrative support across the employee lifecycle. Acting as the first point of contact for HR-related queries, the role will support the HR team, managers, colleagues and candidates by delivering a professional, responsive and customer-focused HR service.

KEY TASKS AND RESPONSIBILITIES: (JOB CONTENT)

  • Act as the first point of contact for HR queries including answering the phone and managing the HR inbox, responding directly in line with agreed SLA or directing queries to the appropriate People Advisor or department when required.
  • Draft and issue contracts of employment, offer letters within agreed SLA.
  • Manage the onboarding journey for successful candidates, including creation of colleague account within Cezanne, monitoring pre-employment tasks to ensure all are completed prior to candidate joining PFAS and being the first point of contact in relation to any queries ensuring smooth onboarding journey and transition to PFAS.
  • Review and manage the Cezanne task list daily, approving forms, raising queries with managers and escalating issues where required to relevant People Advisor.
  • Ensure the HRIS is kept up to date and documents retained.
  • Process employee lifecycle changes accurately and within payroll deadlines, including system updates, letters and workflow activities and escalating to People Advisors when required.
  • Complete fortnightly starter and leaver uploads to Kallidus, our learning management system.
  • Complete monthly new starter uploads to Westfield Health.
  • Support employee relations processes on an ad hoc basis via note-taking and drafting outcome letters where applicable.
  • Provide ad hoc administrative support across the HR Team as required.

  • Previous experience within an HR or People Administration role.
  • Strong organisational skills with the ability to manage multiple priorities and deadlines.
  • Excellent attention to detail and accuracy. Strong written and verbal communication skills.
  • Customer-focused approach with a professional and approachable manner.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Proficient in Microsoft Office applications, particularly Outlook, Word and Excel.
  • Ability to work independently whilst contributing effectively as part of a team.
  • Experience supporting with onboarding and/or recruitment processes.
  • Experience supporting payroll administration activities.
  • CIPD Level 3 qualification or working towards.
  • Experience using HR Information Systems, ideally Cezanne.
