ROLE SUMMARY
To support HR Business Partners with end-to-end Employee Life-cycle activities for all employees based in the UK and to provide support to our Talent Acquisition Partner with Recruitment hiring at all levels for the UK and Europe (Germany & France).
PREVIOUS EXPERIENCE
Demonstrable prior Experience as a HR Assistant/Administrator, preferably gained within a Financial or Professional Services environment.
ROLE RESPONSIBILITIES
Onboarding, Employee Lifecycle and Offboarding
- Responsible for admin tasks related to all Employee lifecycle queries.
- Ensuring offers of employment are made in accordance with company policies and procedures.
- Managing the collection of New Joiner Information to ensure the smooth production of contract offers to candidates.
- Liaising with candidates, Hiring Managers and Third-Party Vendors to manage the onboarding process, including pre-employment screening, RTW/Visa checks and processes.
- Improving and implementing processes to aid in the production and management of the offer and onboarding processes.
- Management of Employee Data records in the HRIS (SDWorx) ensuring that all information is accurate and kept up to date.
- Coordination of the Day 1 HR New Joiner Inductions.
- Produce contract variation letters and FTC contract extensions.
- Provide Employer references including Regulatory reference (in conjunction with Compliance and HRBPs);
- Managing the probation process, ensuring HRBPs are kept updated on their status.
- Monitoring and reporting on Employee absences via the HRIS.
- Managing regular and ad-hoc employee reporting in compliance with the GDPR and company policies.
- Managing the Maternity/Paternity/Shared Parental Leave processes with support from HRBP’s – ensuring H&S requirements are considered; and that all maternity related documentation has been received and issuing all leave related letters.
- Assisting with Internal/External HR Audits and Regulatory data requests.
- Managing the Leaver processes, such as arranging exit interviews, issuing leaver letters, sending business notifications.
- Responsible for ensuring that all new employees and any existing employees employment changes are made accurately in the HRIS for each monthly payroll and reporting cycles.
- Ensure all Employee, Payroll and Benefit records and Org Charts are kept up to date in HR systems for regular MI/Reporting requirements across the business.

Regulatory & Compliance
- Acting as the key point of contact for the EU Compliance team, supporting them with the HR aspects for the onboarding of regulated employees – business notifications, collation of onboarding documents and supporting with Regulated References.
Recruitment
- Assisting with the coordination of any interview scheduling via MS Teams/Zoom.
- CV Sourcing & Screening via LinkedIn Recruiter.
- Tracking Hiring Activity via ATS (Taleo) & Internal Trackers (Excel).
- Supporting with Annual Intern intakes Globally: liaising with external recruitment partners, planning of application process and assessment centres, working with Business Leaders to develop a Training Programme for each intake.
HR Projects & Ad-hoc Administration
- Supporting HRBPs with all HR Projects and Initiatives throughout the HR Lifecycle.
- Working with the HRBP team on any Visa Process administration.
- Working with the HRBP team on Learning & Development administration.
- Assisting HRBPs with Year End Promotion and Compensation processes, updating trackers and issuing letters, ensuring systems are updated for payroll and data reporting.

KNOWLEDGE
- Must have a general understanding of UK Employment Law.
- Knowledge of FCA Regulations (SMCR) would be beneficial.
- Good HRIS & ATS Systems skills, experience using SDWorx, LinkedIn Recruiter & Taleo useful.
- Intermediate/Advanced in MS Office, in particular Excel.

- HR Qualification (CIPD or similar) would be beneficial.
BUSINESS TRAVEL
- Business Travel is not required as part of this role.
- This is a hybrid role requiring travel between 3 Office Sites in London (Moorgate, St James & Soho) in line with business needs.
