About The Role

Sapien is seeking an organized and proactive HR Administrator to join its busy HR team on a 12-month fixed-term contract. This role is pivotal in supporting the employee lifecycle, maintaining accurate personnel records, and coordinating recruitment activities. The successful candidate will play a key part in ensuring HR processes are executed efficiently and effectively, contributing to the overall success of the HR function. This position is ideal for someone with strong administrative experience, a keen eye for detail, and the ability to thrive in a fast-paced environment. The HR Administrator will work closely with various departments to facilitate smooth onboarding, employee engagement, and administrative support, ensuring compliance with company policies and legal requirements.

Qualifications

  • Minimum of two years' experience in an administrative or HR administration role.
  • Strong organizational skills, excellent attention to detail, and high levels of accuracy.
  • Proficiency in Microsoft Office applications, particularly Word, Excel, and Outlook.
  • Excellent written and verbal communication skills.
  • Ability to work independently as well as part of a team.
  • Experience handling confidential information and maintaining sensitive records.
  • Minute-taking experience would be advantageous.
  • Previous exposure to engineering, manufacturing, or technical environments is beneficial but not mandatory.
  • Eligibility to obtain Security Clearance (SC).

Responsibilities

  • Provide comprehensive day-to-day administrative support to the HR team, ensuring smooth operations.
  • Create, maintain, and update electronic and paper-based employee records in compliance with GDPR regulations.
  • Prepare and manage HR documentation, spreadsheets, and databases to ensure data accuracy and accessibility.
  • Support recruitment activities by coordinating interview schedules, preparing interview packs, and liaising with candidates.
  • Assist with onboarding processes, including collecting right-to-work documentation, obtaining references, and issuing new starter paperwork.
  • Maintain employee training records and coordinate training sessions and bookings.
  • Update HR systems with accurate employee information and assist with payroll administration, including verifying time and attendance records.
  • Coordinate visitor bookings and schedule interviews, ensuring efficient time management.
  • Participate in employee engagement initiatives, organize social events, and support internal communications.
  • Take meeting notes and minutes as required, ensuring clear documentation of discussions and action points.
  • Provide general administrative support across various business functions to enhance operational efficiency.
