Description

The HR Assistant is responsible for providing efficient administrative support across the full employee lifecycle and ensuring the smooth day-to-day operation of the HR function.

Working closely with the Head of HR, HR Managers, HR Officer, and HR Coordinator, the HR Assistant will support key people processes including onboarding, compliance, employee wellbeing, HR systems administration, reporting, training coordination, and people projects.

This is an excellent opportunity for an individual seeking to develop a career in Human Resources within a progressive and growing professional services firm.

The role is full-time onsite working at our Derby head office with occasional travel to other sites across the UK. The role reports to the Head of HR.

Key Responsibilities

Employee Lifecycle Administration

  • Support all aspects of the employee lifecycle, from onboarding through to offboarding.
  • Prepare and issue employment contracts, offer letters, contractual amendments, and other employment-related documentation.
  • Complete pre-employment checks including right-to-work verification, reference requests, and compliance documentation.
  • Maintain accurate employee records and personnel files in accordance with GDPR and company policies.
  • Support HR Managers with internal HR file audits.
  • Coordinate and monitor probation review processes, new starter appraisal reviews, ensuring documentation is completed and deadlines are met.
  • Administer leaver processes including resignation acknowledgements, exit documentation, and system access notifications.
  • Coordinate exit interviews or exit surveys and collate feedback for reporting purposes.
  • Ensure all employee records are retained and archived appropriately.

Cezanne HRIS Administration

  • Act as a key administrator for the Cezanne HR system.
  • Maintain employee data, organisational structures, job titles, salary information, and reporting lines within the system.
  • Process employee changes including promotions, transfers, salary amendments, and contractual changes.
  • Support system users with basic queries and troubleshooting.
  • Conduct regular data audits to ensure information remains accurate and up to date.
  • Identify opportunities to improve HR processes through better utilisation of the HRIS platform.
  • Support the implementation of new system functionality, workflows, and reporting requirements.

HR Reporting & People Analytics

  • Produce regular HR reports and dashboards from Cezanne HR.
  • Maintain accurate reporting on:
    • Headcount
    • Labour turnover
    • Retention
    • Absence
    • Diversity
    • Employee demographics
    • Training compliance
    • Employee movements
  • Assist with the preparation of monthly People Team management information reports.
  • Support annual reporting requirements, including regulatory and compliance submissions.
  • Analyse data trends and highlight areas requiring further investigation by the HR team.

Absence Management Administration

  • Record and monitor sickness absence information.
  • Track Bradford Factor scores and prepare reports for HR Managers.
  • Issue return-to-work documentation and employee wellbeing surveys.
  • Ensure absence records are maintained accurately and confidentially.
  • Support HR Managers with absence case administration and documentation.

Compliance & HR Governance

  • Monitor mandatory training completion and maintain accurate records.
  • Support annual compliance training programmes and professional accreditation processes.
  • Assist with SRA practising certificate renewals and other regulatory requirements.
  • Coordinate DSE assessments and maintain records of workplace adjustments.
  • Ensure HR documentation and processes remain compliant with internal policies and employment legislation.

Learning & Development Administration

  • Coordinate training events, workshops, and development activities.
  • Maintain training records and learning histories within Cezanne HR.
  • Track apprenticeship levy utilisation and support apprenticeship administration.
  • Support trainee solicitor and early careers administration, ensuring key dates and documentation are maintained.

Employee Engagement & Wellbeing

  • Support the administration of employee surveys, pulse surveys, and engagement initiatives.
  • Collate survey results and prepare reports for the HR team.
  • Assist with wellbeing, recognition, and social initiatives across the firm.
  • Support the administration of Investors in People and other employer accreditation programmes.

General HR Administration

  • Manage HR inbox enquiries and respond to routine queries.
  • Arrange meetings, prepare documents, and maintain action logs.
  • Take minutes where required and ensure actions are tracked and completed.
  • Maintain HR templates, forms, and process documentation.
  • Support continuous improvement initiatives across the HR Team.
  • Provide administrative support to the Head of HR, HR Managers, HR Officer, and HR Coordinator as required.

Essential Skills, Knowledge, and Expertise

  • Minimum 1 year's experience in an HR Administration, HR Assistant, People Administration, Business Support, or Administrative role.
  • Experience managing confidential information with discretion and professionalism.
  • Strong organisational skills with the ability to prioritise multiple tasks and meet deadlines.
  • Excellent attention to detail and accuracy when processing employee information and documentation.
  • Confident using Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Experience maintaining databases, records, or management information systems.
  • Strong written and verbal communication skills.
  • Ability to work collaboratively within a team environment whilst managing own workload.
  • A proactive approach with a willingness to learn and develop within Human Resources.
  • Experience producing reports, analysing data, and maintaining accurate records.
  • Customer-focused approach with a commitment to delivering an excellent employee experience.

Desirable

  • Previous experience within a Human Resources environment.
  • Experience using Cezanne HR or another HR Information System (HRIS).
  • Experience supporting onboarding, offboarding, or employee lifecycle administration.
  • Knowledge of HR processes and employment documentation.
  • Experience producing HR reports, dashboards, or management information.
  • Working towards, or interested in studying towards, a CIPD qualification.
  • Experience within a professional services or legal environment.
