Gear4music HR Team Assistant Opportunity

At Gear4music, we're not just passionate about music - we're passionate about people too. Our HR team plays an important role in making Gear4music a great place to work, and we're looking for an organised, enthusiastic and IT-confident HR Team Assistant to join us on a fixed-term contract until 16th December 2026.

The Role

This is a great opportunity for someone who is interested in developing a career in HR and would like to gain hands-on experience within a busy, friendly HR team. You don't need previous HR experience – we'll provide training and support. What we're really looking for is someone who is organised, willing to learn, confident using IT systems and enjoys helping others.

You'll provide general support across the HR & Recruitment team during one of our busiest periods of the year. You'll get involved in a variety of tasks, including supporting our recently introduced HR system, helping us update and improve processes, and providing day-to-day administrative support wherever it's needed.

Key Responsibilities

  • Provide general administrative support across the HR & Recruitment team, helping the team stay on top of day-to-day priorities during our busy seasonal period.
  • Help manage the busy HR Inbox, responding to emails and supporting with routine HR queries. This will include speaking with colleagues and managers across the business, including by phone, to help resolve queries quickly and provide a helpful and professional service.
  • Support with day-to-day HR administration, including employee changes, starters, leavers and maintaining accurate records.
  • Draft letters, contracts and other HR paperwork as required, ensuring documents are accurate and issued in a timely manner.
  • Support with new starter administration and onboarding, including checking references and first-day paperwork.
  • Support the team with our recently introduced HiBob HR system, as well as helping with related data, process and documentation updates.
  • Provide direct support to the HR & Recruitment Manager as required, taking direction on priorities and using initiative to complete tasks independently.
  • Assist with a variety of HR and recruitment activities, depending on the needs of the team.
  • Be flexible and willing to support with other tasks across the HR & Recruitment function as required.

About You

This role is about having the right attitude, being keen to learn and being able to provide reliable, organised support to the team.

You will ideally:

  • Have an interest in HR and be keen to gain practical experience in a HR environment.
  • Be confident using IT systems and comfortable learning new software and processes, with good Microsoft Office skills.
  • Be organised and detail-focused, with a good level of accuracy when working with information and data.
  • Have good communication skills and a professional, approachable and helpful manner.
  • Be a proactive team player who can manage a variety of tasks, adapt to changing priorities and is willing to get stuck in wherever support is needed.

Previous HR experience is not essential, and full training will be provided. This could be a particularly good opportunity for someone looking to start their HR career, gain some practical experience or build on existing administrative experience.

Additional Information

  • Contract end date: Wednesday 16th December 2026
  • Location: Holgate HQ, York, with some support required at our Clifton Moor site
  • Hours: Full-time, Monday to Thursday, 9.00am - 5.30pm and Friday, 9.00am - 5.00pm, with a 30-minute unpaid lunch break each day.
  • Salary: £26,106.34 per year
  • This role will be office-based, working Monday-Friday.
  • Due to the seasonal nature of our business, this role will support the HR team during one of our busiest periods of the year.
