Job Purpose

To ensure that Ardmac team members and supply chain partner across our European projects are fully compliant with employment, social welfare, and local registration processes. Responsible for promoting best practice compliance in each jurisdiction of operation.

This role will be based in the Dublin office, working collaboratively with site admin teams across our European operations. The role will require flexibility to travel as required to Ardmac projects and locations across Europe (typically once per month).

Duties and Responsibilities

  • Provide efficient compliance administration and control with a high level of attention to detail for all employment-related documentation, visa requirements, residency permits, social security numbers, contracts, terms and conditions of employment, and travel documents for both Ardmac employees and subcontractors.
  • Propose improvements to all compliance-related processes to ensure Ardmac and its subcontractors are fully compliant.
  • Undertake regular Ardmac site audits in advance of any 3rd party or external regulatory authority reviews/audits.
  • First point of contact for compliance on Ardmac European projects for staff and subcontractors.
  • Conduct observations and spot-checks, checking compliance, identifying and documenting any non-compliant practices, and coordinating closure in line with approved methods, processes, and procedures.
  • Provide documented findings on conformance and non-conformance to management.
  • Coordinate visa, work permit, and immigration applications, renewals, and associated compliance requirements for Ardmac employees.
  • Manage right-to-work verification processes and maintain associated compliance records for employees working across Europe.
  • Conduct subcontractor compliance audits, onboarding reviews, and risk assessments to ensure compliance with Ardmac and client requirements.
  • Review and verify subcontractor compliance documentation, including employment, social security, payroll, right-to-work, and statutory records.
  • Coordinate posted worker notifications, overseas registrations, and country-specific employment registrations required for employee mobilisation.
  • Internal compliance reviewing:
    • Working time (Staff and Labour)
    • Pay rates (Labour)
    • All social and taxation (Labour)
    • Other ad hoc HR support from time to time

Knowledge of the following would be an advantage:

  • EU Employment Law.
  • Social security and Visa requirements within EU countries
  • Good communication and interpersonal skills.
  • Excellent attention to detail and strong organisational skills.
  • Proficient in Word, Excel, and PowerPoint and an ability to adopt other IT systems. Experience of using AI to streamline work is a distinct advantage.
  • Working knowledge of a second European language would be of benefit but not essential.
