Contract Type: Permanent
Location: Plymouth
Salary: £26,000 - £28,000 DOE
Hours: Full-time, 67.5 hours per fortnight (on an alternating pattern of 37.5 hours per week and 30 hours the next week)
Position Purpose
To deliver an effective and competent level of operation support to the HR Department. You will be a key link between employees and management, overseeing employee records, supporting with recruitment and onboarding, and assisting with payroll/benefits. You will consistently deliver a level of service that promotes effective working relationships throughout the business.
Key Accountabilities & Responsibilities
- Set up new employees on the HRIS and maintain accurate recording of employee data.
- Support with the 360 recruitment cycle, uploading job adverts, monitoring their activity, shortlisting CV’s, arranging and conducting phone screening interviews, and supporting in interviews and assessment processes where required.
- Deal with recruitment enquiries in a pleasant and helpful manner, communicating relevant information to colleagues and referring to others as appropriate.
- Administer all paperwork for new starters such as offer letters, contracts of employment and other relevant new employment paperwork. Ensuring IT request forms are completed by department heads.
- Completing new starter checks, such as administering eligibility to work and employee reference requests.
- Support with the induction of new starters into the business and assist managers within the probation period.
- Administer appropriate paperwork reflecting changes to status, pay and benefits.
- Create and run reports to analyse data to support statistical reports on HR information, e.g. starters, leavers, turnover, sickness absence, equal opportunity monitoring.
- Monitor employee absence, ensuring appropriate documentation is completed by managers.
- Liaise with and support Payroll on amendments as necessary; ensure Payroll data includes changes to staff terms and conditions and act on management instructions and staff requests in a timely fashion.
- Support with ER issues and attend meetings as a note taker when necessary.
- Managing low level casework and ensuring issues are dealt with in a timely manner.
- Supporting with ad hoc projects, as and when required.
- Create and adapt new forms for the HR department when required.
- Keeping notice boards updated and ensuring appropriate information and communication is displayed/communicated at all times.
- Keep our e-learning platform up to date and add new starters and ensure they are set up with relevant training courses. Removing leavers as necessary. Working with other departments to ensure the platform has relevant content and reporting on course completion.
- Support H&S forums, including notetaking as necessary, health & safety administration, and the maintenance of skills/training matrix.
- Support Engagement Committee projects.
- Create and conduct training sessions when required.
- Undertake any relevant research, development or training as required.
- Ensure that all activities are conducted safely without danger to personnel or equipment.
- To carry out other appropriate delegated duties as required.

Requirements
Essential:
- GCSE, or equivalent, English and Maths grade C or above
- CIPD level 3, or studying towards.
- Generalist experience of working at HR Admin/Coordinator level.
- Knowledge of HR procedures and practices, and employment law
- Working knowledge of Microsoft Office including Word and Excel
- Previous experience of using HRIS
- Understanding of Data Protection legislation
- Previous experience of payroll administration, benefits and the recruitment process
- Excellent organisational skills and attention to detail
- Strong written and verbal communication skills
- Maintain confidentiality and trust at all times
- Able to work on own initiative, organising and prioritising own workload to set deadlines
- Problem solving and time/project management skills
- Ability to work effectively as part of a team
- Flexible approach to work
