Job Description
💼 HR Coordinator and Onboarding Specialist (FTC)
📍 Bourne End Office - hybrid working
🕒 Full-Time | Fixed-Term Contract | 37 hours per week

As an HR Coordinator / Onboarding Specialist, you'll manage the complete onboarding journey for new employees, maintain accurate HR records, and provide essential support to both employees and managers. What will I be doing…
Employee Onboarding
- Coordinate and manage the end-to-end onboarding process for new employees
- Prepare and distribute offer letters, onboarding materials, policies, and required documentation
- Coordinate new-hire orientation, introductions, training sessions, and first-day activities
- Partner with hiring managers and department leaders to ensure new employees have necessary equipment, system access, workspace, and resources
- Maintain onboarding checklists and ensure all required steps are completed accurately and on time
- Coordinate and conduct onboarding follow-ups and check-ins during probation
- Gather feedback from new hires and managers to identify opportunities to improve the onboarding experience
- Assist with organisation of quarterly HR Inductions
HR Administration
- Maintain accurate and up-to-date employee records in HRIS and associated systems
- Process employee status changes, transfers, promotions, leave documentation, and separations
- Assist with benefits enrollment and serve as a resource for employee questions regarding HR programs and policies
- Support payroll processes by providing accurate and timely employee information
- Prepare HR reports, spreadsheets, and documentation as needed
- Assist with employment verification requests and routine HR correspondence
- Ensure HR files and records are maintained in accordance with company policies and applicable laws
- Handle sensitive and confidential information with professionalism and discretion

First Line Employee and Manager Support
- Act as the primary point of contact for routine employee and manager HR inquiries, providing clear guidance and resolving common queries independently where possible
- Provide guidance on HR procedures, onboarding requirements, company policies, and available resources
- Support employee engagement initiatives, internal communications, and HR projects
- Assist with employee recognition programs, training coordination, and company events
- Help promote a positive, inclusive, and professional employee experience
Compliance and Process Improvement
- Stay informed about changes to HR policies, procedures, and compliance requirements
- Identify process gaps and recommend improvements to increase efficiency and consistency
- Maintain accurate records and documentation for audits and reporting purposes
What you will bring to the role…
- Level 3 CIPD qualification
- 3 years of experience in Human Resources, onboarding, recruiting coordination, or administrative support
- Strong organisational and time-management skills
- Excellent written and verbal communication skills
- High level of attention to detail and accuracy
- Ability to manage confidential information appropriately
- Proficiency with Google Suite and SmartSheets
- Experience using an HRIS, applicant tracking system, or other HR software (preferred)
- Ability to work independently and collaboratively in a fast-paced environment

Qualifications
