HR & Recruitment Coordinator
Leeds Office - Full Time
Job Summary
We’re looking for an organised and people-focused HR & Recruitment Coordinator to join our busy HR team. You’ll play a key role in supporting recruitment, onboarding, employee administration and compliance, while providing a friendly and professional service to employees, managers and candidates.
Key Responsibilities
- Manage HR and recruitment systems, ensuring employee and candidate records are accurate, up to date, GDPR compliant and audit ready.
- Support the HR team across the full employee lifecycle, including onboarding, contractual changes, absence and family leave, and offboarding.
- Coordinate pre-employment checks including Right to Work, DBS checks, references, compliance training and onboarding documentation.
- Support the end-to-end recruitment process, including vacancy coordination, job adverts, interview scheduling, candidate communication, offers and onboarding.
- Provide first-line administrative support to employees, managers and candidates, escalating complex or sensitive HR matters to the HR Advisor.
- Manage HR and Recruitment inboxes, responding promptly and providing a professional, customer-focused service.
- Provide accurate employee information to Payroll regarding starters, leavers, contractual changes, absence and other employment updates within required deadlines.
- Maintain accurate electronic personnel files and monitor compliance requirements, including DBS renewals, mandatory training and Right to Work documentation.
- Produce HR, recruitment and compliance reports and maintain accurate records to support business reporting and decision-making.
- Support managers with recruitment administration and general HR process queries, referring policy, employment relations and complex matters to the HR Advisor.
- Assist with HR projects, process improvements and initiatives to improve efficiency and service delivery.
- Prepare meeting documentation and take confidential minutes where required.
- Process departmental purchasing and stationery requests in line with company procedures.
- Build effective relationships with employees, managers, candidates and external stakeholders, providing a professional HR service.
- Provide flexible administrative support to the wider HR team during busy periods and undertake other duties as required by the HR Advisor, HR Management Team or Board of Directors.
- Ensure all activities comply with relevant employment legislation, company policies, procedures, GDPR and best practice.

Key Requirements
Essential:
- Previous experience in HR, recruitment, people administration or a similar administrative role.
- Experience working in a fast-paced environment, managing multiple priorities and deadlines.
- Strong organisational and administrative skills with excellent attention to detail.
- Experience using HR, recruitment systems or databases.
- Good working knowledge of Microsoft Office, particularly Excel, Word and Outlook.
- Excellent written and verbal communication skills.
- Ability to handle confidential and sensitive information with discretion.
- Strong customer service and relationship-building skills.
- Ability to work independently and effectively as part of a team.
- Understanding of GDPR, compliance and data accuracy within an HR environment.
Desirable:
- Experience supporting recruitment, interview coordination and onboarding.
- Experience with Right to Work, DBS or other pre-employment checks.
- Experience producing HR reports and working with HR metrics.
- CIPD Level 3 qualified or currently working towards the qualification.
- Knowledge of employment legislation and HR best practice.
- Experience working within a regulated environment such as healthcare, care or education.
